About Our Opportunity

As the Communications Administrative Assistant, you are accountable for the management of all correspondence for the Minister's Office of the Department of Justice. This includes processing incoming and outgoing correspondence by recording, routing to appropriate writers with direction on action to be taken, ensuring follow-up on outstanding issues, preparing correspondence for signature, proofing, photocopying, scanning, filing/electronic tracking and coordinating responses to inquiries.

You will maintain a current project schedule and track progress ensuring key details are incorporated and key deliverable timelines are met. You will be responsible for review of media coverage, identifying articles of importance, and information dissemination. As well, you will track financial reporting transactions and processes expense/travel claims for the executive offices. As part of the collaborative team environment you will provide backup support for the other administrative assistants in the office.

About You

As the successful candidate you will have a recognized secretarial program and several years’ relevant work experience. An acceptable equivalent combination of education and experience may be considered.

Your proficiency in common computer applications including the Microsoft Office Suite (i.e. Word, Excel, Outlook, PowerPoint) is required, as well as experience using the internet. Your experience working in a confidential setting and composing letters, reports, and briefing notes is required along with experience analyzing, reviewing, tracking and monitoring all correspondence for trends and/or areas of concern. As well, experience in processing invoices/expense claims, monitoring expenditures, and with records management systems (i.e. STAR/STOR), is required.

During the interview process, you will be asked to outline your experience demonstrating your exceptional organizational and communication skills, strong attention to detail and ability to work both independently and in a team environment.

Other Considerations

You must be eligible for a Level 2 (Secret) security clearance.

Pay Grade: EC 05

Salary Range: $1,605.83 - $2,017.08 Bi-Weekly
