Overview / Responsibilities:
Wood currently has an exciting opportunity for a site Administration Assistant. Reporting to the Construction Manager, this position is located at our project site in Sparwood, British Columbia. Reporting to the Construction Manager, this role has overall responsibility for overseeing all administration and secretarial duties at site. Key Responsibilities:
Providing administrative assistance to the Construction Manager,, and other team members, as required
Preparing, formatting and distributing documents using Word, Excel, PowerPoint, Outlook

Monitoring and preparing status progress reports on actionable activities
Developing communications, presentations and preparing reports - HSSE and weekly/monthly construction reports
Assisting teams with project administration components
Maintaining and filing correspondence in accordance with Wood procedures
Organizing and coordinating staff, client, company and senior management meetings and functions
Coordinating and managing SharePoint sites and providing training, where necessary
Maintaining consistency in documentation for format and content, including editing and proofreading documents
Conducting general administrative duties such as filing, photocopying, coordinating travel, maintaining schedules, preparing expense reports, arranging couriers and archiving of files
Coordination with home office admin assistant and project coordinator to ensure information is shared efficiently including engineering deliverables Issued for Construction and ensuring contractors files are also up to date

Skills / Qualifications:
Post secondary education in business and computer courses combined with broad company and business experience desired
Familiarity with the formation of construction contracts including service and consultant agreements/contracts – from contracts posting
Knowledge and experience in emergency response, occupational health, incident investigation, risk management, and behavioral based safety – from previous HSSE posting
Sound knowledge of company organization, directives, programs, standards, and administrative procedure
Advanced level of proficiency in a Windows-based environment including MS Office applications (Word, PowerPoint, Excel and Outlook)
Excellent writing and editing skills with acute attention to detail
Proven administrative, personnel management, communication and organizational skills
