JOB SUMMARY

The incumbent will be responsible for administrative and clerical duties as well as providing operations support to Housekeeping, F&B, Kitchen and Front Office. A high energy person with a no jobs too big or small mindset.

JOB RESPONSIBILITIES

  • Provide administrative and clerical & personal assistance to the General Manager
  • To provide administrative and clerical assistance secondarily to Department Managers
  • Assist in any operational areas of the hotel as required
  • Coordinate efficient maintenance and timely repair of office equipment
  • Prepare letters, memos, reports, posters, social media posts and presentations as required
  • Responsible for publishing hotels bi weekly newsletter.
  • Responsible for maintaining recognition boards and programs
  • Distribute incoming mail, and send outgoing mail and faxes
  • Maintain current mailing and telephone lists
  • Act as secretary for Departmental Meetings and Joint Health & Safety Committee Meetings
  • Summarize and track F&B and Front Office guests comment cards, maintain spreadsheet updated and replies/answers to guest comments
  • Assist in planning and advertising Employee Events and Activities
  • Assemble handbooks, binders and information packages
  • Ensure sufficient on-hand inventory of toner, cartridges and drums for office equipment
  • Order and maintain sufficient stock of office supplies, including stationary
  • Update the hotel Social Media (Facebook, Twitter and LinkedIn)
  • Perform other related duties as required by the General Manager or Department Managers

REQUIRED QUALIFICATIONS

  • Energetic, flexible, hands-on individual with initiative and integrity
  • Excellent organizational, communication and interpersonal skills
  • Strong knowledge of Microsoft Office and Desktop Publishing Software
  • Friendly and pleasant demeanor, courteous, self-motivated, and professional
  • Ability to work efficiently and meet multiple deadlines with minimal supervision
  • Previous administrative experience in a hospitality setting would be an asset, but not a must
  • Experience with Opera, Delphi, Canva and graphic design an asset.
