Legal Secretary

An exciting opportunity has arisen for the role of Legal Secretary to join our growing Legal and Commercial team, located in our Vancouver office. This is a new role in the team that will be key in helping the legal department meet its goals for the organization. Key Responsibilities of the Role:
Maintain and organize internal client files, including developing and managing filing systems;

Drafting and reviewing legal documents and internal forms;

General clerical duties such as drafting correspondence, document organization and scheduling;

Organize and maintain master documents, document lists, and document databases;

Management of our internal insurance certificate register;

Assist with document review and coordinate with executive leadership;

Organize meetings as required including the preparation and distribution of the agenda and related materials;

Prepare and format information for internal and external distribution. This may include writing letters and memos, compiling data for reports, creating presentations, managing confidential materials, editing and filing documents;

Proofreading contracts for consistency and accuracy;

Other general administration duties as required.

Qualifications

A diploma/certificate in Business, Legal Studies or Office Management. Bachelor’s degree preferred;

5-7 years of experience in a legal administrative/secretarial role assisting senior personnel in a law firm or in-house legal department;

Able to effectively prioritize and meet deadlines;

Excellent written and oral communication skills;

Comfortable working autonomously and across multiple tasks;

Strong interpersonal skills with a courteous and professional demeanour;

Highly organized with the ability to work to tight deadlines;

Ability to think proactively and laterally;

Some exposure in engineering, consulting or professional services is preferred.
