Applications are invited for the position of Administrative Assistant to the Associate Dean, School of Business and Management with focus of General Business and diploma programs. The salary salary is $24.63/hr for a 35-hour work week. Additional hours may be required as necessary.
Reporting to the Associate Dean, the Administrative Assistant provides administrative support to the Associate Dean as required, to ensure smooth daily operations, while maintaining professionalism in a confidential environment.
Responsibilities include, but are not limited to:
providing excellent customer service in communicating with faculty, students, staff, and the general public
responding to or re-directing all program related inquiries (student complaints, issues, program related forms and information)
prepare schedules, course information sheets, and other materials as required by faculty
order text books and manuals for programs through the campus store
notify students of class cancellations and forward information to Divisional Secretary
prepare course requests, proposed program changes and course change requests
assembles materials for as required for the Associate Dean, including curriculum committees, co-ordinator meetings, open house and special events
organize and maintain all document files through established office procedures for the assigned program areas
enter program loadings for full and part-time faculty into Niagara College systems
full administrative support to Associate Dean
MS Outlook calendar management and meeting scheduling
accounts payable / receivable
office supply ordering and inventory
Required qualifications include:
Two (2) year diploma in a relevant field (e.g. Office Administration, Business Administration)
Minimum three (3) years experience in office administration in an educational, government, or large business environment
Demonstrated communication, organizational, problem solving and prioritizing skills
Proven abilities in working independently, exercising initiative and good judgement, sensitivity and confidentiality
Strong customer service and public relations skills
Working knowledge of Microsoft Office Suite
Previous experience in College applications: FMS, EnCampus, CentreSuite, PeopleSoft, Academic Logistics and AMPS is strongly preferred
