The Project Administrator is a dynamic role that reports directly to the Operations Manager for Telecon Inc in Edmonton, AB. The Project Administrator will be responsible for providing support and assistance within the Connectivity Department; including invoices, purchase orders, finance and reporting.
Responsible for the preparation of invoices to clients
Process and track quotes and change orders
Complete all required project reports
Update and manage SharePoint site both for internal and external stakeholders
Coordinate and update management on any issues related to invoices AP and AR
Preparing project job analysis and internal reporting to other departments
Review expenses, invoices and other accounting documents for accurate project allocation
Assist and provide support to internal finance, accounting and related departments
Record all personnel, production, and operational data information on specified forms and reports
Responsible for entering, recording, storing and maintaining information in written and/or electronic form for the purpose of tracking the progress and costs for all projects
Perform various data entry and administrative duties when required
Other duties as assigned
College Diploma in business administration or a relative administrative field an asset
A minimum of two (2) years’ related experience as asset
Experience with accounting procedures an asset
Working knowledge of administrative, clerical and financial procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology
Proficient in Microsoft Environment; Work, Excel, Access Databases, Microsoft Project
Must have a Class 5 Drivers’ License
Self-starter with the ability works well with minimum or no direct supervision
Ability to work well under pressure with tight timelines and frequent deadlines
Demonstrated professional oral & written communication skills
Strong work ethic; coordinating multiple tasks & exhibit strong time management and planning skills to achieve successful outcomes
Ability to positively develop working relationships with a positive attitude
Exceptional Customer Service; ability to effectively handle both favorable and unfavorable customer interactions;
Demonstrated ability to identify problems and situations, take appropriate action, implement solutions or escalate as required
Ability to work efficiently in a team environment and collaboratively with other departments and clients
