The Executive/Personal Assistant will provide support to senior level staff members by exhibiting the efforts of a team player and strong time manager with exceptional communication skills. The individual will work with our President and Senior Marketing Strategist to:

Executive/Personal Assistant Responsibilities:

  • Organize meetings and events, and make travel and accommodation arrangements
  • Review incoming correspondence, distribute, and respond accordingly
  • Prepare documentation such as agendas and figures for meetings/presentations and

co-ordinate any project work

  • Compile and prepare reports, presentations, and correspondence
  • Pick up and drop off documents, mail and IT equipment from/to the office and from/to various locations across the GTA
  • Coordinate schedules/calendars
  • Handle personal banking needs and errands
  • Assist with personal errands: pickup/drop off items
  • Interact with third party vendors/suppliers
  • Other duties as required

Marketing Support:

  • Support the development and implementation of communication strategies and programs
  • Gather, research, and prepare communications material
  • Coordinate special events and promotions for publicity
  • Support the development and implementation of our marketing plan
  • Provide, research and recommendations for improving the effectiveness of the website and other communications and marketing efforts
  • Update and distribute marketing materials
  • Understand development initiatives, plans and timelines for upcoming projects in order to effectively leverage this information in marketing efforts
  • Assist the Senior Marketing Strategist to ensure ongoing marketing activities are delivered on-time and on-brand
  • Other duties as required

Qualifications:

  • College or University education in Marketing or a related field
  • 3+ years of experience in similar role
  • Strong verbal and written communication skills
  • Effective and proven interpersonal skills
  • Strong knowledge of Microsoft Office
  • Strong knowledge of operating Outlook Calendar
  • Planning and prioritizing skills
  • Ability to work with sensitive information and maintain a high level of confidentiality and discretion
  • Ability to work independently
  • Detailed oriented and ability to follow detailed instructions
  • Must be comfortable interacting with family pet (dog)
  • Must have G license and access to a reliable vehicle on a daily basis
  • Working remotely is required
