The Aevitas- Cornwall, ON location is looking for a motivated individual to provide support to the accounting and operations groups. Given the small size of the operations, this is multifaceted role and is a good opportunity to work in a professional team environment.

Office Administrator - Part Time

Administration Responsibilities:

  • Maintain proper entries into the employee time card system (revise/enter schedules, verify hours);
  • Maintain the automated telephone system (programming) and direct calls to reception as needed;
  • Purchase and maintain inventory of all office supplies;
  • Reconciling A/P invoices with purchase orders;
  • Enter supplier invoices for approval;
  • Copy and distribute shipment documents to proper authorities and files;
  • Ensure that mail is picked up, sorted and delivered promptly on a regular basis;
  • Maintain a suitable filing system for document storage and retrieval;
  • Use of internal systems and specific record keeping to provide updates (by project and/or client), track inventories, and prepare and issue status reports;
  • Interface with internal and external groups, suppliers, and other disciplines, to maximize client satisfaction and prompt payment of invoices.

Qualifications:

  • Effective communication skills both written and verbal
  • Demonstrated problem solving and analytical skills
  • Strong computer skills with proficiency in a Windows based environments
  • Self-motivated and team player
  • Experience with accounting software is considered an asset
