RESPONSIBILITIES:
Manage telephone inquiries for the Sales and Catering Departments regarding servicing customers, marketing and promotional opportunities, and account qualifying
Provide general office administration including filing, monitoring and replacement of collateral materials, office supplies, fax/photocopier maintenance, organization of office, etc.
Prepare proposals, contracts, room block space, and client and internal follow-ups with regard to room block updates and entering rooming lists, as well as catering events as necessary
Contact group bookers in detailing and confirming all groups' arrival/departure, room blocks specifications as well as reservation, VIPs, Commission payments, and all necessary group details. Responsibility to properly communicate information from clients to hotel managers
Contact meeting and event planners in detailing all catering and meeting events booked by Catering Sales Manager, as well as Group Sales Managers
Assist with new prospects and target lists, coordination of sales blitzes and holiday deliveries, and client service events
Compile and manage database for promotional mailings
Assist with preparation for trade shows, sales missions and sales trips
Assist with monthly action plans
Coordinate meeting room booking procedures, conduct site inspections, track payments, and compile and analyze reports relating to wash factors, lost business, sales booking reports and cancellations
Prepare bi-weekly PACE report
Interact with guests to obtain feedback on product quality and service levels with ability to respond to and handle guest problems and complaints
Review comment cards and guest satisfaction results related to Sales with Director of Sales and Marketing
Emphasize guest satisfaction during all departmental meetings and focus on continuous improvement
Attend and lead weekly BEO/pre-event meetings to advise hotel managers of program/event/group details for events and groups
Attend and assist at hotel functions when needed
Other related duties as assigned

REQUIREMENTS:
1-2 years Sales/Catering experience preferred
Proficient with Microsoft office and hotel based computer systems (CI/TY/FOSSE/ Sales Pro/Delphi/SFA)
Excellent verbal and written communication
Detail Oriented
Team Player, works well as a member of a group and independently
