The Hamilton based Supply Chain (SC) Operations Lead position reports to the Kelowna based Supply Chain Manager and is responsible for providing leadership, guidance and direction to the Shipping, Receiving, Inventory Management and Tooling roles and overseeing processes and regulations specific to Customs, Raw Materials and WHMIS. A high level of Customer Service is expected to support KF internal customers in partnership with the Kelowna based Supply Chain Groups and the Hamilton based Hangar Support Department.
This position is a working lead position that will develop a high level of competency in each of the areas listed below. Initially the position will have 4 direct reports in shipping, receiving and tooling. With the growth of our maintenance operations, we expect the number of direct reports to double and the position to transition from a working lead to a Supervisory role.
Leads the team in the accomplishment of successfully performing the duties assigned to them by maintaining a positive work environment; participating in selection process of new team members; providing on the job training; completing performance reviews; creating and maintaining staff schedules; auditing and approving time sheets; and supporting all staff in conflict resolution.
Documentation and Administration
Ensures accuracy of company documentation by researching historical data in company ERP system; ensuring effective maintenance of all certification documentation; solid understanding of all sections of the Supply Chain Procedures Manual (SCPM) and Employee Policy Manual. May sign off required documentation as delegated by the SC Manager.
Ensures compliance with all regulations and procedures in completing all shipping processes. This includes but is not limited to ensuring appropriate packaging for aircraft parts; effective use of approved couriers and freight providers; application of Dangerous Goods/Hazardous Goods regulations; obtaining quotes for the movement of large or critical shipments to ensure best pricing; tracking specialized shipments; and troubleshooting.
Receiving / Distribution / Inspection
This function covers all tasks related to ERP data entry. Duties include but are not limited to effective sorting, acceptance and processing of all freight to meet regulatory and company procedural requirements; continuous learning and training in relation to airworthiness regulations and customer requirements; and ensuring that all parts or material not meeting regulatory requirements are quarantined and rejected in accordance with KF Policies and Procedures.
Provides support to the WHMIS/Rejections Coordinator to ensure parts rejections are addressed and customer rejected parts are processed quickly with timely and concise communication to the customer.
Works with the Trade Compliance and Customs Support Specialist to ensure customer aircraft and all parts are imported or exported with minimal or no delays; and adheres to CBSA regulations for all imports and exports.
Ensures completion of IM processes by assisting in the processing of system inventory reports generated to conduct cycle counts and annual stocktaking; reviewing data against actual results and reporting transaction variances for action; addressing and adjusting Time Expired product; reporting daily inventory discrepancies; monitoring and investigating material in the Problem location; and monitoring all SCR (Scrap) locations to ensure compliance with regulations.
Tooling and Equipment Control
Provides oversight to Tooling staff to ensure effective tool controls by assisting with training and development of staff; assisting with the coordination of Tooling Repairs, Calibration, Replacement and New Tool Purchases; assisting with the coordination of Tool and Equipment Loans and Rentals; working in concert with KF OH&S Coordinator to ensure correct safety equipment and tools are available to employees; and assisting with annual and spot check tool audits.
Displays a positive professional attitude toward co-workers, customers, management and various internal department personnel, in all situations; providing recommendations and generating alternatives to improve customer service along with challenging the status quo; ensuring proactive follow-up with customers and coaching team members to do the same; practicing collaborative decision-making and resolution of issues.
REQUIRED CERTIFICATION, EDUCATION, EXPERIENCE or SKILLS
- Grade 12 Diploma
- Minimum 5 years of experience in a supply chain and/or logistics position
- Must have a valid driver’s license
- Successful completion or willingness to complete the CPIM program
- Ability to obtain Dangerous and Hazardous Goods certifications (provided in-house)
- Ability to complete Receiving Inspector course (provided in-house)
- Forklift certification required (provided in-house)
- Understanding of Customs regulation including CBSA requirements
