Reporting to the Manager - Legal Support Services, the person in this position will work under the direct supervision of the National Lead, Intellectual Property (IP) and will provide support to the National IP team, with a particular focus on trademark and patent prosecution.

He/She will proactively collaborate with members of the National IP team and other legal assistants to deliver excellent work and superior service to Dentons members and clients by providing highly efficient and effective senior administrative support as part of a growing Canadian IP team. The successful candidate will be responsible for remaining up-to-date and well informed on current affairs in the field of Intellectual Property.

Responsibilities
Process and docket incoming mail, faxes, and email for due dates and related information in the IP team’s cloud-based docketing system
Maintain integrity and quality of electronic prosecution files
Ensure completeness and accuracy of data in the docketing system
Prepare docket reports for items to be completed to ensure lawyers and paraprofessionals are aware of upcoming deadlines
Retrieve and process correspondence from CIPO (Canada) and USPTO (United States) and WIPO (International)
Open new folders in the docket
Draft routine client correspondence
Assist in organizing the National IP team and support team members as required through calendaring, arranging meetings and travel, and serving as lawyers’ and the National Lead’s liaison
Bill and maintain client accounts
Any other related task
Requirements
Education
College or professional diploma in office automation - Legal option
Experience
5+ years intellectual property/patent/trademark prosecution administrative or paralegal experience
Experience with IP docketing systems and fluency with legal terminology related to IP
Familiarity with document management software, such as iManage and/or DeskSite
Essential skills
Knowledge in the management of Intellectual Property deadlines (Trademarks/Patents)
Mastery of the Office suite
Bilingual French / English, spoken / written (fluent)
Excellent organizational, communications and interpersonal skills
Ability to prioritize and manage several files at the same time
Strong analytical ability

Schedule:
Monday to Friday 9 a.m. to 5 p.m.
