This role is based in the team that is responsible for the development and administration of the firm’s students, associate and law clerk programs including recruitment, evaluation, compensation, promotion and professional development. This busy and collegial team is looking for an Talent Assistant who will help the existing team members in supporting the Toronto and Ottawa programs as well as providing support to both the national Learning & Development and Diversity & Inclusion functions.
Working collaboratively with Learning & Development, Diversity & Inclusion, Student, Associate and Law Clerk teams, specific duties will include:
Law school liaison activities and support, such as career fairs, student group and other external events, as well as sponsorships and scholarships, and helping to organize and attend student-related social events, meetings, programming and open houses
Providing significant support and coordination for orientation, training, rotational, secondment, evaluation and hireback processes
Providing administrative and coordination support for all aspects of student recruitment in Toronto and Ottawa, including timetable and internal database creation, maintenance of external database, compilation, organization and delivery of all materials (hard and soft copy versions) using various sources, attendance and greeting duties during recruitment periods, and preparation of offer letters and correspondence with students and others regarding same
Lateral lawyer and law clerk recruitment support, including posting of position descriptions via LinkedIn, Precedent, Ontario Reports and other sources, interview scheduling, maintaining online databases and other records, offer letter preparation
Significant responsibility for maintaining a number of online tools (ViRecruit, LMS, Sharepoint, CVMail, etc.)
Posting new hire and departure announcements on Athena, Need to Know and Scoop
Maintaining demographic and other information on student, lawyer and law clerk population and providing support on statistic and financial reporting
Administrative support for the associate, of counsel and law clerk compensation and evaluation processes as well as exit interviews
Supporting Learning & Development – event management including booking event dates, rooms, sending invitations, reminders and feedback communications, setting up and managing the event in our Learning Management System, preparing session materials, organizing internal and external venues and providers of specialist services (e.g. AV specialists); setting up and sending out CPD communications, managing psychometric assessment accounts
Diversity event management - booking dates, rooms, setting up AV, CPD logistics, catering etc. for local events and some national events
Researching and ordering of promotional items
Processing expenses and invoices
Skills and Experience Required

A positive attitude, and an ability to take initiative and anticipate needs
High level of computer literacy (MS Excel, MS Word; MS PowerPoint) and willingness to learn new software tools
Strong organizational skills and attention to detail
Experience working in a law firm or other professional services firm
College Diploma in Business Administration or Human Resources or equivalent experience
