The Department of Education, Culture and Employment (ECE) provides the residents of the Northwest Territories with access to quality programs, services and support to assist them in making informed and productive choices for themselves and their families with regard to education, training, careers, employment and labour, child development, languages, culture and heritage.

Job Information

Scope:
This position is located in Inuvik and reports to the Regional Superintendent and coordinates administrative services to 17 staff in the Beaufort Delta Region. The incumbent organizes the coordination and flow of work for all regional staff including the Regional Superintendent, the Regional Manager - Income Security, the Regional Manager - Career Development and the Budgeting & Planning Officer, 3 Career Development Officers, 1 Early Childhood Consultant and 9 Client Services Officers.

The incumbent is the first point of contact for clients coming into the Inuvik Service Centre. The incumbent greets and directs visitors to the office to the appropriate person or service, answers and forwards telephone calls, takes message, schedules appointments and performs related clerical duties including responding to visitors inquiries and requests for information. In addition, the incumbent acts as the first line response for Income Security, Career Development, and Early Childhood Programs. The incumbent responds to approximately 50 clients and telephone calls per day. There are times when incumbent deals with irrational and demanding clients. In addition, the incumbent is involved in the distribution and circulation of a large volume of documents, i.e.: letters, reports, faxes and forms per year.

Critical Knowledge, Skills and Abilities:
Much of the incumbent's time will be spent working with clients, staff and community organizations. Therefore, the Administrative Coordinator must have strong communication skills and interpersonal skills. In addition, the incumbent must be able to motivate people and act as a facilitator and mediator.
Knowledge of current training and employment trends including: GNWT strategic directions: Developmental goals and objectives; strategic goals and direction of local College, Aboriginal groups, and partner departments; and current labour market trends;
Excellent communication and first level counselling skills to ensure clients receive the assistance they need;
An ability to operate a desktop in order to maintain the public computers, send and receive electronic mail, perform word processing and access information over the internet. Computers literacy skills and ability to work process use e-mail and various database and spreadsheet packages;
The ability to write concisely, to express thoughts clearly and to develop ideas in a logical sequence, handle complex oral and written material and exercise discretion in the handling or confidential information;
An ability to be self-directed, meet deadlines, prioritize own workload and manage several tasks at once. Alters normal procedures, ways or working to fit a specific situation to get the job done and to meet the ECE Inuvik Service Centre's goals, i.e.: assists co-worker perform task when needed;

Typically attained by:
Completion of a two-year post-secondary administration program or related training with completion of computer courses in word processing, spreadsheets, publishing, and E-mail plus three years progressive experience working in a high stress, service-oriented office.
