SENIOR EXECUTIVE ASSOCIATE
VP TEACHING AND LEARNING
This position reports to the Vice President Teaching and Learning and is responsible for providing business administration, communications management, and project management services to the Vice President’s office. The position will research and provide background information and advice on organizational matters and issues related to the portfolio. The Senior Executive Associate will also initiate written and verbal communications and reports by researching, compiling information, preparing initial drafts and ensuring deadlines are met within a timely fashion. The Senior Executive Associate will provide a range of services in office management, budget administration, and issues management related to the College, committee support, project management, analysis, retreat preparation, and stakeholder liaising.
The position will play a key role in building and sustaining internal relationships as this position requires frequent and collaborative interaction with senior management leaders within all Divisions of the college.
Coordinates, implements and improves business practices and procedures within the Office of the Vice President. Establishes and implements processes, tools and supporting documentation for all items requiring VP approval.
Initiates written communications and reports to external and internal contacts.
Effectively administer, coordinate and manage pertinent information, issues or problems.
Reviews and analyses reports, studies and position papers and prepares briefing reports and recommendations for the Vice President.
Keeps the Vice President informed of areas of concern or emerging trends and briefs him or her on any issues, concerns, matters and meetings.
Creates, manages, monitors and reconciles the budget for the Office of the Vice President and ensures accurate processing of expenditures including preparation and payment of expense claims.
Coordinates, implements and manages special projects arising within the Office of the Vice President.
Oversees schedule of appointments and meetings for the Vice President and is kept up-to-date, providing advice on conflicting priorities.
Screens correspondence and inquires and independently responds or re-routes as appropriate.
Liaises with the President’s office to resolve issues of mutual concern.
Supervises the Executive Administrative Assistant in terms of daily office a
May be required to attend committee meetings and inform the VP and relevant parties of decisions and actions taken by the committees and follows up where further action is required.
Coordinates portfolio information for the annual report, college business plan, contribution agreements, and board meetings.
Coordinates reports/information regarding the divisional operational plans within the portfolio.
Manages information and business follow up for all new projects for the VP.
Coordinates/manages other operational items as required.
A university degree in a related discipline is required. Equivalent combination of relevant education and/or experience may be considered in lieu.
Minimum five (5) years’ experience as a business administrator and senior executive assistant including, business planning, project management, general administration preferably in a post-secondary educational setting .
Excellent interpersonal skills and networking skills, acting with a high level of professionalism and business acumen.
Ability to synthesize information quickly and exercise judgment in changing and politically sensitive situations.
Excellent planning, organizational, financial management, and project management skills.
Excellent written and verbal communication skills.
Ability to work collaboratively and effectively with other team members from other areas of expertise within the organization.
Ability to exercise sound judgment
Ability to know which decision fall within job scope and when to seek assistance.
Ability to initiate and complete projects with minimal supervision.

SALARY: $75,044 - $93,777 per annum; commensurate with education and experience. This permanent position also includes immediate participation in our comprehensive pension and benefits plan.
