At Meatings Barbecue Inc an Event Coordinator develops, implements, and monitors standards of service and coordinates catering activities amongst staff to ensure that a high quality of production and service is consistently maintained. The Event Coordinator will work closely with the Catering Manager to plan and execute catering services which include, food & equipment preparation, equipment maintenance/cleaning, delivery logistics, staff management, and event service. As the Event Coordinator, it is your responsibility to ensure the highest quality of food standards, customer service, and overall experience.

Role & Responsibilities:

  • Oversee all event operational requirements (rental logistics & confirmation)
  • Organize event timelines (who/what needs to be where and when)
  • Arrange all rental equipment, linens, plates, silverware, glassware etc.
  • Work with the customer to determine what they want and liaise with vendors and suppliers to determine what we can offer
  • Ensure all rental supplies are delivered on time specifically to each event.
  • Ensure all catering events run smoothly & efficiently.
  • Manage all aspects of event planning meeting strict deadlines
  • Establish SOPs (Standard Operating Procedures) and train event staff
  • Ensure we are strictly adhering to all health and safety guidelines including food-safe and smart-serve
  • Coordinate with the catering manager, internal staff, clients, vendors, and others to establish needs specific to each event
  • Serve as a liaison between the client and our catering department
  • Lead pre-event meetings when necessary to inform staff on the flow of service and event requirements
  • Plan and facilitate logistics for all events, including venue preparation, transportation, equipment, food delivery etc
  • Oversee client experiences from conception through post-event, managing on-site preparations, production, and event breakdown, ensuring consistent, high-level service throughout all phases
  • Troubleshoot and handle any issues that arise on the event day
  • Communicate directly with the customer throughout the event planning process to learn requirements and goals, and ensure all parties understand relevant information and details.
  • Monitor and oversee events from preparation and set-up through teardown to ensure adherence to planned format, compliance with regulations, cooperation between vendors, resolution of issues, and overall satisfaction of participants and sponsors.
  • Perform post-event tasks promptly such as meeting with clients to ensure satisfaction, reviewing invoices and bills, approving payments, and documenting issues and resolutions.
  • Assist executive level management as needed and when needed

Skills/Requirements

  • 3 - 5 years of related experience
  • Strong communication and interpersonal skills
  • The ability to think on your feet and take initiative
  • Work well in a team environment
  • The ability to lead and motivate staff
  • A well-organized approach to working with administrative & IT literacy
  • Numeracy and financial skills in order to manage a budget
  • An appreciation of customer expectations and commercial demands
  • Stamina to work long hours when needed
  • Ability to work under pressure
  • Flexibility and the ability to solve problems in a high-pressure environment
  • Desire and ability to provide a positive customer experience and enhance the Meatings brand
  • Drive and determination to improve standards, service, and profitability
  • Available to work evenings and weekends as needed
  • Proven supervisory or management experience
  • Food and beverage experience
  • Business management skills and time management skills are an asset
  • Knowledge of alcoholic and non-alcoholic beverages
  • Knowledge of safe food handling & first aid
  • Smart Serve and FoodSafe required
  • Drivers License Required

Job Types: Full-time, Part-time
Part-time hours: 24 per week

Salary: $20.00-$23.00 per hour

Schedule:

  • 10 hour shift
  • 12 hour shift

  • Day shift
  • Night shift

Supplemental pay types:

  • Secondary School (preferred)

Experience:

  • event coordination: 3 years (preferred)
  • Event Coordinating: 3 years (required)
