Reporting to the Development Manager, Donor Relations & Events, the Development Assistant, is responsible for providing logistics and administrative support for engagement and fundraising activities that will enhance Ocean Wise’s relationship with current and prospective donors and sponsors, ultimately growing revenue for the organization. This position will also provide a range of administrative support for the Development Team.
Donor Stewardship & Sponsorship Activation
Assist the Development Manager, Donor Relations & Events with maintaining donor recognition systems, implementing annual donor relations activities, writing donor profiles and creating impact reports;
Compile and maintain an inventory of existing donor and sponsorship obligations and ensure that these obligations are met;
Assist in organizing donor engagement activities, including cultivation and stewardship events, create materials, and coordinate invitations.
Provide a range of support to achieving revenue objectives for fundraising events, including acquiring auction items, organizing ticket sales, supplier management and realizing event sponsor benefits;
Responsible for processing gifts associated with the events, recording each gift in the database, sending acknowledgment letters, collecting payments, providing tax receipts and updating database as necessary;
Organize communications and assist with marketing and communications activities, both pre- and post-event;
Coordinate committee meetings, circulating agendas and minutes.
Provide administrative support for the entire development team, including scheduling and recording notes from meetings, ordering office supplies, coordinating mail and assisting with onboarding of new staff;
Process gifts, ensuring efficient delivery of tax receipts in coordination with the finance department;
Handle external requests for Vancouver Aquarium tickets and experiences.

Education and Experience
A minimum of two years’ experience in development, not-for, profit, or a related field
Post-secondary degree or equivalent experience. Further professional development training and experience an asset
Experience with event organization and production
Experience working with a diverse array of stakeholders
Experience working with volunteers and donors is an asset
Working knowledge of Raiser’s Edge or a similar database is an asset
Excellent written/verbal/interpersonal communications skills
Detail-oriented and ability to manage multiple projects and tasks and to produce high-quality work under tight deadlines
Strong customer-service orientation
Proficiency in digital communication tools
Ability to demonstrate a high level of professionalism
Ability to work independently and as part of a team
Ability to respond positively to frequent change
Ability to work with and maintain high degree of confidentiality
The incumbent will work in a shared office environment with the usual ergonomic risks;
May be required to work weekends and/or have flexible work schedule.
