RVS is seeking an outstanding professional for the part time (17.5-20 hours per week) position of Supply Management Coordinator. The incumbent is responsible for coordinating all aspects of the Supply Management Department. This position is located at the Education Centre in Airdrie, Alberta. A Valid Alberta Motor Vehicle License and access to a reliable vehicle as travel will be required.

Responsibilities:
Works collaboratively with schools, departments and procurement staff to select and follow appropriate procurement strategies and priorities
Acts as liaison between Supply Management and the Maintenance and Grounds Department as well as various departments at the Education Centre and Schools
Works with Schools, Contractors, Vendors, Departments and Procurement Specialists, with an emphasis on Maintenance, Facilities, and Grounds Projects, including analysis of outstanding vendor commitments
Coordinates Asset Management in conjunction with the Warehouse Asset Coordinator and provides warehouse support as required for the supervision and direction of couriers
Manages all incoming requests for repairs and on-site service requirements
Organizes, prioritizes and ensures all work is done within the required time frames
Performs buying duties and purchase order processing for routine purchases and blanket orders as assigned
Runs reports in databases (BMO Spend Dynamics/Asset Planner/Atrieve) for Spend Analysis and Savings Reporting for the Supervisor of Supply Management
Manages, administers and monitors contracts and agreements to ensure compliance around service and support, and invoicing requirements
Composes, or assists in composing RFP documentation and files
Hosts meetings, as a participant, presenter or facilitator to a variety of individuals as needed
Trains new staff in department procedures and internal processes collaboratively with procurement staff

Education/Experience:
Business Administration diploma
Three (3) years’ experience in office management or related field
Accounting experience is an asset.
Proficiency using O365 Microsoft Applications: Word, Excel, Outlook
Experience with Powerschool Atrieve and Asset Planner Software and other web-based applications is an asset
Previous experience in an educational setting, government setting, or procurement setting are considered an asset

Advanced administrative, office management and customer service skills
A solid understanding of accounting and budget tracking and the ability to multitask with accurate attention to detail are essential skills.
Effective and efficient communication and interpersonal skills
Effective organizational, prioritization, time management skills
Aptitude for data management systems
Proficient in the use of technology including new and existing software applications.
Skilled in the use of advanced spreadsheet applications with excellent attention to detail
Ability to think critically and manage changing priorities in a fast-paced environment
Ability to work in a team environment as well as independently with very limited supervision
