The Canadian Association for Community Living (CACL) along with Jody Carr Law Office is currently recruiting for a Legal & Executive Assistant (full-time, permanent position). Reporting dually to CACL’s Executive Vice-President as well as lawyer Jody Carr, the Legal & Executive Assistant will provide day-to-day executive administrative support in a highly professional and confidential manner, in addition to preparing legal documents and interacting with clients. This position is based out of our Fredericton, New Brunswick office.


  • Provide direct administrative support to the CACL Executive Vice-President as well as lawyer Jody Carr
  • Act as first point of contact for the New Brunswick office; meet and greet visitors, filter incoming calls/emails and distribute accordingly
  • Manage calendars, including scheduling meetings and boardroom bookings while ensuring readiness by organizing proper documentation or briefing materials
  • Prepare a broad range of documents, including drafting correspondence and legal documents
  • Ensure high quality work product by proofreading work for completeness, grammar, spelling, and errors
  • Maintain a highly confidential physical and electronic client database and filing system
  • Organize documents, including documents requiring signature/approval or documents for daily meeting schedules
  • Organize travel by booking travel arrangements and accommodations as per policy and submitting the appropriate travel expense documentation
  • Prepare cheques for signing and maintain account ledgers
  • Maintain contact with existing clients and assist in the recruitment of new clients
  • Ensure all office equipment and supplies are ordered and available, verify invoices, and maintain well-organized storage and reception areas
  • Manage preparation and delivery of shipments for courier, Canada Post and other mail duties
  • Establish, monitor, modify, and maintain executive administration procedures and activities to ensure a smooth office operation

Qualifications & Experience:

  • Post-secondary education in a field relevant to legal/administrative support; minimum 3 years’ experience as a legal administrative assistant or an executive assistant
  • A motivated self-starter with a positive, ‘can-do’ attitude and commitment to quality
  • Attention to detail, strong follow-through, and the ability to remain organized, flexible and responsive to multiple priorities and deadlines
  • A high level of discretion and demonstrated confidentiality and professionalism in all communications
  • Strong interpersonal skills that exemplify professional friendliness
  • Advanced proficiency with office technology, including Microsoft Office and Quickbooks
  • Valid driver’s license and reliable vehicle necessary for daily work-related duties
  • Fluent in French and English an asset
  • The successful applicant will be asked to provide aCriminal Record Check and Vulnerable Persons Check
