David Aplin Group, one of Canada's Best Managed Companies, has partnered with our client to recruit for a Project Coordinator - Contract Length: 12 months.
The Project Coordinator is primarily responsible for supporting the management and delivery of projects from inception to completion and assisting Program Managers with their PM duties. While there will be no staff directly reporting into this role, the Project Coordinator will be required to manage resources, including contractor resources, assigned to the respective project. The project will involve topics such as digitization, automation and advanced analytics.
Key Accountabilities (Expected Achievements):
The Project Coordinator is primarily responsible to support the management of projects from initiation to closure with a committed goal of delivering on time, on budget, scope complete with a high level of quality and business satisfaction from inception to completion and assisting Functional Managers with their PM duties. The Project Coordinator is responsible for the following activities:
Ensuring execution of all phases of the projects are conducted in a responsible, safe manner ensuring there are no unreasonable risks taken that would jeopardize safety in any way
Ensuring a Project Lifecycle (from Initiation to Closure) is executed based on the current PMO policies and framework as defined by the PMO or Application Lifecycle Management (ALM)
Managing projects from initiation to closure with a committed goal of delivering on time, on budget, scope complete with a high level of quality and business satisfaction
Overseeing and managing the team members working on the project
Working with Managers to plan, request and obtain required resources to meet deliverables
Actively monitoring all funds spent in relation to the project, this includes maintaining a detailed current view of budget, actuals and forecast numbers
Managing detailed Project Gantt charts, Timelines (milestones), Resource charts and dependencies with other Project schedules
Administer the contracts including preparation of Purchase Requisitions, invoice processing and approval
Providing transparency into project health through published schedules, regular status reporting, and current budget and forecasts
Monitoring project team timesheet reporting to ensure proper project accounting
Documenting any scope changes impacting schedule, budget or quality
Administer the document management and controls process
Organizing meetings, workshops and logistics for project and program purposes
Solve problems by identifying, resolving and escalating any issues and risks as and when required
Ensuring all relevant documents and artifacts are stored in the appropriate project folders (SharePoint) as per the PMO framework requirements and are readily available for scrutiny by the PMO, management, and Internal Audit
Conducting ad-hoc project audits to confirm they are on track with documentation, budget, schedule and scope to mitigate potential risks to compliance or project success
Key Competencies (Skills, Knowledge, Personal Attributes):
Bachelor’s degree or equivalent professional experience
PMP or CAPM certification (preferred)
Scrum or Agile certification (preferred)
Microsoft DevOps or other agile planning toolkit (preferred)
1-3 years managing projects in a large complex corporate environment or 3-5 years in a Project Coordinator role managing project teams
Practical experience working on projects $1 – 10M
Practical experience in a Business Analyst, Change Management or Team Lead role
2+ years’ experience using Microsoft Project or equivalent (preferred)
Some experience in Organizational Change Management
Skilled in the use of Microsoft Office tools, including Word, PowerPoint, Excel, SharePoint
Proficient Spanish, both written and spoken, is considered an asset
