Reporting to the Manager of Shared Services, the AP Administrator is responsible for processing invoices in a timely and accurate manner.

Accounts Payable Functions

Process two-way and three way Purchase order/ invoice matching
Cost coding, posting and payment of invoices via cheque, EFT or online payment
Respond to all vendor inquiries, reconcile vendor statements, research and correct discrepancies
on AP vouchers
Resolve issues with disputed vendor invoices
Complete setup forms for EFTs, Online payments
Ensure proper supporting documents are attached to all invoices
Ensure corporate signing limits are met on all invoices
Prioritize invoices according to cash discount potential and payment terms
Audit monthly printer / toner count against invoice
Provides top customer service to internal and external staff
Organizing and housekeeping of all legal survey plans and other survey projects in the survey jobs drive and information services drive
Scan in drafting plans, sketches, checklists and make sure a copy is saved in Drafting markup folders.
Maintaining the passwords for the websites (i.e. Land Titles) used to purchase and obtain survey products

ADDITIONAL DUTIES AND RESPONSIBILITIES:
Cross train with other Shared Services Departments

Requirements

EDUCATION AND EXPERIENCE:
Knowledge and understanding of accounting requirements
3 years or greater of experience in large accounts payable departments
Highly experienced with computer skills, Microsoft Work, Outlook, Excel
Ability to maintain a high level of confidentiality

Thorough knowledge of applicable accounts payable/
Ability to perform mathematical computations such as percentages, fractions, addition, subtraction, multiplication and division quickly and accurately
Ability to work independently and with a team in a fast-paced environment with emphasis on accuracy and timeliness
Experienced in processing EFT, wires and direct deposit
