We are currently looking for a dynamic project coordinator to play an important role to manage successful production projects and customer orders, coordinating with all departments to ensure project objectives are achieved. This Project Coordinator position based in Cambridge, Ontario for Class 1 Incorporated a division of Atlas Copco that has the potential to grow into a Project Manager role. Mission: Working under the supervision of the Vice President/BLM this role manages, tracks and reports tasks supporting the on time and successful delivery of customer orders for medical gas systems, architectural products, medical gas accessories and general equipment as required.

Job description:
1. Project coordinate secondary, architectural and mechanical sales

1.1 Assist customers with product inquiries

1.2 Take customer orders

1.3 Trouble shoot and recommend products based on system requirement(s)

1.4 Enter customer orders in ERP system and follow up with purchasing if needed

1.5 Schedule production and coordinate customer deliveries

1.6 Work with engineering on any custom requirements

1.7 Create secondary BOM’S, to store on server for future repeat orders

1.8 Attend sales meetings as required

1.9 Update the production schedule

2. Project coordinate in-house releases (including architectural releases) for system builds resulting from accepted tenders

2.1 Enter orders in to company ERP system

2.2 Request shop drawings from engineering for customer approval

2.3 Field customer inquiries regarding shop drawing questions and approval

2.4 Follow up with customer for approval, ship dates and release of job

2.5 Prepare customer/project file on server and maintain

2.6 Create build, project binder for production

2.7 Release project based on required date to production team and purchasing to order

2.8 Create and maintain project reconciliation file

2.9 Prepare shipping paperwork

2.10 Prepare order for invoicing

2.11 Update booked orders in WIP folder when shipped

2.12 Update project reconciliation with actual project close cost

2.13 Coordinate with site delivery, deficiencies and tracking of delivery (with help of account manager)

3. Audit performance of all orders

3.1 Update QMS with actual ship dates for on time delivery targets

3.2 Send out customer satisfaction surveys

3.3 Collect customer feedback and forward to regulatory for input into QMs system

3.4 Authorize returns of products not required upon project close and apply restocking fee if required

Requirements:

Minimum 3-5 years experience in a similar capacity 
2-year college/university education required (Project Management courses or certification an asset) 
General mechanical/electrical knowledge 
Experience in a manufacturing facility would be an asset 
Ability to work independently and with a team 
Ability to manage multiple projects simultaneously 
Superior written and oral communication, negotiation skills.
Fluency in English required, French an asset 
Organized, courteous, precise and professional 
Knowledge of ERP programs (Business Vision software very beneficial) 
Must be comfortable with MS Office Suite, Office 365, familiarity with AutoCAD an asset 
Ability to read & understand construction project specifications and blueprints, , considered an asset 
A ‘customer first’ attitude with ability to maintain a professional appearance and demonstrate a positive attitude with customers, sales team, industry peers, and fellow employees 
Strong organizational, time management, problem solving, and interpersonal skills 
Must have valid driver’s license 
May be required to have Vulnerable Sector Police Record Check

Working conditions and physical effort:

Project Coordinator may be required to travel to customer job site or consultant offices periodically with account manager 
Work is normally performed in a typical interior/office work environment 
Ability to safely lift and carry fifty (50) pounds on occasion
