Are you ready to take the next big step in your hospitality career? Four Seasons Hotel Toronto is currently looking for a talented and dynamic Catering Sales Representative who shares our passion for excellence and who infuses enthusiasm into everything he/she does!

The Catering Sales Representative is responsible for providing administrative support to the Catering Managers and Director while being familiar with all aspects of the catering and conference planning process. Will also act as lead on small group bookings.

Job Requirements

We are looking for individuals who possess a high level of professionalism and integrity while maintaining the confidentiality of the office. A solid working knowledge of all MS systems; Word, PowerPoint, Excel are required. Working knowledge of Delphi and Lanyon is preferred. Applicants must also have a high attention to detail and the ability to multi-task in a fast paced environment. A positive attitude and a can-do approach to any task are essential.

Preferred qualifications & skills

1-2 years previous Catering or Conference services experience, preferably within hospitality/hotel environment.
Exceptional communication skills and command of English language
Good organizational skills
Attention to detail and ability to multitask
Able to handle a large volume of telephone calls in an efficient and professional manner.
Proficient in Microsoft Word, Excel, Lotus Notes, Opera and Delphi.
Food & Beverage knowledge is a plus.
Works well under pressure and is a team player.

Job Functions:
Receive and respond to incoming telephone calls to catering department in accordance with Four Seasons Standards
Prepare accurate written correspondence including letters, reports, and banquet event orders, schedule events, printed menus, and email using MS Word, Delphi and Lotus Notes
Maintain Delphi accounts, including traces, creating and updating bookings, manipulating events in the function diary and the preparation of banquet event orders.
Distribute Catering correspondence to the Hotel operating departments as required. Examples: Amenity Cards, Resume, Change Log and Banquet Event Orders.
Maintain the various Catering file system both electronic and paper, including Account Files, Vendor Resources Files and Resumes.
Negotiate with clients through the use of creative and attractive menu presentations and event proposals, to achieve both maximum revenue/profit potential and fulfillment of contractual responsibilities while satisfying client needs.
Coordinate with the Sales Department and Catering to insure proper utilization of function space to yield maximum revenues.
Finalize the requirements of confirmed bookings while maximizing revenue potential through up selling and ensuring effective communication both written (Resumes, BEO, Daily Reports( and personal contract with all departments for the success of the event. Maintain an active trace/follow-up system. Ensure accuracy of Banquet Checks and provide bill review on completion of program or event.
Plan and/or attend and/or participate in meetings with hotel staff and clients, including but not exclusive to: Morning Operations Briefing, Resume Meeting, Banquet Event Order Meeting, Sales Meeting Pre-convention Meetings, Planning Visits, and Menu Tastings.
