Position Purpose Summary:
The Program Services Coordinator is responsible for providing supervision, support and coordination of all aspects of Frontline and Drop-In Support Services. The incumbent will advocate for youth clients in need of services, and assist with the development of a strong, positive and supportive community for young people in need. The focus of the work is to strengthen communication, boundaries, safety and trust for young people to begin to make steps toward getting housed and/or staying housed.
Perform monthly supervision meeting with direct reports
Provide ongoing coaching, mentoring and performance management of staff
Supervise Program Services Caseworkers through shelter and drop-in with regard to schedules and procedures, methods, materials and formats, providing back-up support to these positions and their functions as required
Monitor and ensure staff practices are in compliance with Policies, Procedure, Operating Principles and Core Standards
Assure that all persons coming into contact with Sutton Youth Services, whether by phone or in person, are treated with dignity and respect by Program Service staff
Provide job specific orientation, training and scheduling staff in accordance with government contracts and core standards
Ensure adequate coverage within the building regarding program staff
During shift, take lead role in crisis intervention and dispute resolution as required to ensure the safety of residents, outreach clients and staff
Participate in the provision of the Case Management Plan including intake, support and other direct services to residents and outreach clients of the facility during shift.
Participate in or delegate the conduct of appropriate physical searches, maintain appropriate records of searches and house logs; monitor and check logs to ensure the completion of regular security checks
Ensure directly and through staff, the maintenance of the security and monitors the security system.
Establish and maintain proper records, logs and files for the applicable shift to ensure the smooth operation of the facility, complete in-depth reports for critical incidents; prepare resident files for discharge.
Ensure that all computer records, reports, log book entries, intake forms and other administrative tasks are done accurately and consistently in accordance with the personal information protection and electronic documents act
Report attendance for staff in UltiPro or to designate
Maintain casual and relief employee list
Prepare all Program Services Caseworkers and Drop In staff vacation schedules
Arrange complete staff coverage during vacation period
Provide statistics and monthly reports to Program Director outlining staffing issues, incidents. Ensure the Program Director is kept informed of all incidents, observations and infractions occurring at Sutton Youth Services and that the information is properly documented and passed on to the appropriate staff
May request materials to be ordered
Lead weekly team meetings and assist in leading quarterly PSCW meetings
Perform other duties as assigned
Ensure the programs are administered as per funding contracts
Maintain the front intake desk to ensure all reporting forms are available
Ensure data integrity for HIFIS, case files, shelter billing, and other related reporting structures
Participate in development, planning and coordination of all program activities
Ensure client complaints are handed in accordance with THQ complaint policy and ensure Employee Relations is informed
Ensure the proper maintenance and use of a computerized office system, and proper record keeping of the same in accordance with the Territorial Computer Usage Policy
Assist with monitoring clients regarding Restorative Approaches
Ensure confidentiality and accuracy of client files
Enforce Policy and Procedures, Agency Rules and Expectations consistently
Be a contributing member of the Admin team
Attend and serve on committees as required
Provide oversight to the gathering and collation of data for the Ontario Government (HIFIS) and The Salvation Army (SAMIS) monthly statistics
Assist in planning and operation of special events at the facility as required
Assist Director and Volunteer Coordinator in the coordination of placement students
Liaise with interdepartmental staff teams i.e. dietary, housekeeping, aftercare, etc.
Health & Safety
Work with Business Manager to ensure that Sutton Youth Services provides a safe and healthy living and working environment and staff comply with Occupational Health and Safety Act and Regulations
Identify issue and either fix or inform the Health and Safety Committee
Promote positive and supportive attitudes toward youth which are experiencing homelessness
Participate in and promote programs and activities that empower young people to work towards their goals
Assist with the planning and implementation of services that promote life skills, responsibility, reliability, self-esteem, social skills, peer relations, conflict and stress management; build on clients’ strengths, knowledge and experiences by supporting positive choices
Assist youth in developing harm reduction strategies for when dealing with high risk situations
Address and prioritize youth issues; provide clients with crisis intervention and support
Act as an advocate and be a positive role model for our youth in the community
Develop effective working relationships and partnerships with community members, representatives of other departments, agencies and co-workers
Maintain documentation and filing and other administration duties as required
Assist with the day to day operations of a safe youth emergency housing
Represent the Salvation Army and the youth we serve at community meetings
Driving company vehicles occasionally require
Perform any other related duties as requested by Program Director
Adhere to standards that are consistent with the values & philosophy of The Salvation Army, Residential Services and the Regional Municipality of York
Participate fully and constructively in staff meetings and in service training
Ensure all employees read, understand and follow the Policy & Procedures Manual, Health and Safety requirements, annual abuse training and the Employees Handbook
Maintain confidentiality in all matters pertaining to clientele and coworkers of The Salvation Army Sutton Youth Services.
Become familiar with the provision of position descriptions & operations manual, as provided for each job position
As required and is applicable, make suggestions that will improve efficiency, working conditions or procedures to the Program Director and represent the Organization in a professional manner
Bachelor of Social Work Preferred
Minimum of two-year’s experience supervising staff
Three years’ experience working with homeless
Must have thorough knowledge and understanding of Women’s issues, Mental Health and Addictions issues,
Previous experience with Health and Safety issues
Strong computer skills in Microsoft Office; and
Knowledge of community resources in York Region considered an asset
Thorough knowledge and a commitment to anti-racism, anti-oppression and equity
Excellent problem solving skills
Able to work in a fast pace environment with conflicting priorities is a must
Must be able to maintain confidentiality at all times
Excellent oral and written communication skills in English
Ability to work independently as well as part of a team
Valid Driver’s License would be an asset
Must have good interpersonal/time management skills
A valid first aid and CPR certificate
Ability to remain calm and focused in stressful situations
Note: An alternative level of education and experience may be acceptable
Successful candidate will be required to provide upon hiring:

A clean drivers abstract
Participate in our online Armatus Abuse Training and Health and Safety training required upon hiring, as well as updated annually
