THE ROLE

Reporting to the Property Manager, you will fill the full-time position of Property Administrator for a portfolio of Retail, Industrial and Office properties in Saskatoon. Working in a team based environment, you will be responsible for the ongoing daily property management administrative functions including processing tenant file maintenance (automated property management system), review monthly rent roll billings to tenants, rent collection/deposit, account receivable and account payables, administrating tenant and client relations as well as general reception duties.

WHAT WILL YOU BE DOING?

Develop and maintain an effective line of communication within the Property Management & Operations group and provide administrative support as required; including reception duties.
Interact with internal staff, tenants and external service providers to ensure building standards are adhered to and service performance is at an optimum.
Processes preliminary monthly rent roll report and communicate ongoing rental billing changes to tenants.
Preparation of vacancy notices and arrears reporting.
Issue year-end final billing as well as tenant charge-back invoices to tenants for miscellaneous charges.
Assist Property Manager in rent collection, provide both verbal and written communication with tenants.
Prepare tenant receivable reports for Property Manager.
Process real estate accounts payable invoices including administering invoice holdback where applicable, match invoices to approved purchase orders, respond professionally to various invoice payments inquires by property management staff or external vendors, construction cost tracking etc.
Assist the Property Manager in the budget and quarterly reports preparation of operating expenses, receivables and capital expenditure working documents.
Provide assistance to the Property Manager by keeping on top of deadlines/commitments and pro-active follow-up.
Aid building tenants and redirect complex issues to the appropriate resources for resolution.
Establish strong working relationships with internal and external contacts such as tenants, contractors, etc.
Logging, dispatching and following up on tenant service calls via Service Connect/Angus software.

To fulfill this role successfully, you should demonstrate the following minimum qualifications:

A post-secondary college diploma and/or university degree in business or accounting.
Two years’ experience in property administration, commercial real estate or real estate property accountant.
Proficient in Microsoft Office.
Experience with Yardi is considered an asset.
