South Riverdale Community Health Centre is a non-profit, multi-service organization that provides primary healthcare, social and community outreach services with an emphasis on health promotion and disease prevention primarily to people of East Toronto. Responsibilities:
Assist in the day-to-day operation of the Centre providing administrative support services to the Leadership Team and facilities management services for the organization
Development and maintenance of organizational documents
Maintain, format and update organizational policy manual as required
Oversee on-going building projects particularly capital projects across all SRCHC’s locations (timelines, budget tracking, etc.)
Liaise with external contractors and outside agencies
Coordinate projects as required, including accreditation
Create organization procedures to ensure smooth running of the Centre; communicate to staff as required
Oversee the management of facility keys, FOB access and building security including security codes for all staff and Executive Team, camera footage, door access, etc.
Report on copier usage, including ensuring appropriate programs are invoiced as necessary
Oversee hazardous waste disposal and ensure SRCHC is compliant with necessary legislation
Back-up to the Executive Assistant for Board and Leadership support
Receive Incident Reports and update summary information related to Health & Safety Incidents
Prepare incident report summaries for the Leadership Team and Board of Directors
Contribute administrative support on various projects e.g. reports, proposals, presentations, grants, meetings, letters, Board, etc.
Coordinate the administration, reconciliation and distribution of petty cash, food cards and TTC
Collaborate with the Executive Office to coordinate meetings for SRCHC Board, leadership, management and staff (booking rooms, organizing food and refreshments, preparing confidential materials for Board and Leadership discussions) including, when applicable, in camera minutes
Research and purchase supplies and equipment as needed
Coordinate travel arrangements for Leadership Team as required
Coordinate the destruction of confidential materials as required

Qualifications:
Post-secondary education in administration or related field or equivalent in experience
Additional courses in computer and administrative skills an asset
3 -5 years administrative experience with progressive responsibility, preferably in a human service organization
Strong skills in the use of computer technology, MS Office (Excel, Word, Outlook), PDF and various software applications
Thorough knowledge of and proficiency in office administrative practices and procedures
Ability to prioritize work
Ability to exercise good judgement and demonstrate initiative
Sensitivity in handling confidential information
Strong analytical and problem-solving skills
Flexibility to work with deadlines
Sensitivity in handling confidential information
Demonstrated ability to be flexible, possess excellent organisational skills, and be a self-starter
Strong oral and written communication skills
Good interpersonal skills
Experience in taking accurate minutes at meetings
Police clearance documentation will be required for employment
