The Victoria Youth Clinic Society, lead agency for Foundry Victoria is seeking a Medical Office Assistant (MOA).

In accordance with a patient, client and family centered model of care and, in accordance with the Mission, Vision and Values and strategic directions of the Victoria Youth Clinic Society and Foundry this position promotes a safe, respectful, and civil working environment for patients, families, visitors and staff.

Reporting to the Foundry Victoria Operations Manager, the MOA performs a variety of administrative, secretarial and general clerical duties such as welcoming incoming clients, answering phones, redirecting calls, screening and prioritizing incoming correspondence and maintaining appointment calendars for designated staff. Performs reception, and receives and processes intake referrals, answers routine inquiries, and books appointments.

Key Duties and Responsibilities

Assist with clinic and program activities by answering phones, greeting clients , directing clients to appropriate partner services, checking appointment lists, assembling and obtaining relevant client information and ensuring sufficient clinical, stationary, and client literature supplies are on hand.

Respond to calls/answers inquiries regarding routine program information, relaying phone messages to staff, and greeting clients in waiting area.

Answer routine inquiries about services, advises callers of services in the community and refers inquiries as appropriate and following protocols for obtaining assistance in an emergency/crisis situation.

Maintain levels of general office and clinic supplies and ensures equipment maintenance by methods such as troubleshooting office equipment problems.

Assist staff with maintaining orderliness of work areas.

Perform a variety of clerical functions such as arranging for couriers, calling taxis and/or handing out vouchers for clients, filing, photocopying and faxing.

Perform other related duties are assigned.


The requirements listed below are representative of the knowledge, skill, and/or ability required to perform each essential duty satisfactorily.

Education and/or Experience

Grade 12, medical office assistant course from a recognized institution plus at least three (3) years’ recent, related experience, or an equivalent combination of education, training and experience.

  • Knowledge of the principles and practices of medical office and community clinic management.

  • Knowledge of medical terminology.
  • Able to work as a member of a client-focused team
  • Able to deal with public in a tactful and courteous manner
  • Ability to operate related equipment (photocopier, facsimile,) and proven word processing skills, ability to create and work with spreadsheets, Microsoft Office documents and clinical databases (Word, Excel, Outlook), including experience with EMR (electronic medical records)
  • Ability to type 50 wpm.
  • Ability to maintain effective working relationships with employees, clients/patients, other service providers and the general public.
  • Ability to maintain confidentiality and to communicate effectively both verbally and in writing.
  • Ability to work under pressure, to multi-task, to problem-solve, to take initiative, to anticipate potential problems/conflicts and take appropriate actions, to organize and prioritize workload and meet deadlines.
  • Ability to work as part of a team and to participate in meetings.
  • Ability to work independently and in cooperation with others.
  • Physical ability to carry out the duties of the position.

This is a full-time position (37.5 hours per week) position

Competitive Salary and Benefit Package

A current criminal record check with vulnerable sector screening will be required.

Salary: $19.00 to $21.00 /hour
