Job Summary

  • Coordinate many aspects of events, including conferences, meetings and forums with support from the Brand Manager and PR and Communications Coordinator
  • Coordinate onsite arrangements for meetings and events
  • Assist with negotiations for space contracts and book event space
  • Arrange food and beverage
  • Order supplies and audiovisual equipment
  • Ensure appropriate décor, etc.
  • Act as liaison with event venue dedicated contact to ensure all details are communicated clearly
  • Arrange travel for guest speakers and accompanying team members
  • Communicate with the Brand Manager, relating any necessary event information
  • Work with the team to ensure that onsite print materials are produced and delivered according to schedule (e.g., signage and handouts)
  • Prepare nametags, materials, notebooks, packages, gift bags, registration lists, etc.
  • Ship all materials and supplies from office to site and
  • Assist with developing the event resume outlining all activities for the proper execution of the event
  • Participate in budget development and support budget management, including entering expenses in databases and allocating credit card expenses
  • Propose new ideas to improve the event planning and implementation process
  • Provide general administrative and clerical support to the team
  • Support internal event development and implementation
  • Support the development of patient events, such as support groups and online learning sessions
  • Write up descriptions of events to support the promotion and funding of different events

Required Education, Skills and Qualifications

  • College or university degree or equivalent in experience
  • Minimum of 1 year experience in marketing
  • Fully bilingual in French & English (written and spoken)
  • Ability to maintain a high level of activity, manage multiple competing priorities, and work in a start-up environment
  • Reliable, accountable, dedicated and able to work independently and in team
  • Excellent organizational and coordination skills
  • Detail-oriented
  • Critical thinking
  • Efficient and ability to learn new computer programs, including Mac
