We are currently looking for an extremely organized and punctual Administrative Officer/Deal Secretary that will work at our front desk.

Must be flexible and willing to take on new tasks. Must have the ability to use and operate Quick Office and MLS System, real estate paperwork, social media, website/graphic design and Microsoft office/Excel/Outlook.

Drivers Licence is Required.

Lone Wolf Experience Preferred

2-3 years experience is a Must.

Duties would include:

  • Entering deals into Broker Wolf accounting system
  • Following up with agents about outstanding documents
  • Invoicing co-operating brokerages for commission
  • Handling of incoming emails by responding in a timely manner
  • Monitor the day to day functioning of the front desk and assist with appointments, confirmations and entering listings as needed
  • Management of the office
  • Entering deals into Broker Wolf accounting system
  • Following up with agents about outstanding documents
  • Processing pre-construction deals
  • Invoicing co-operating brokerages for commission
  • Communicating with Tenants;
  • Organizing and scheduling Inspections;
  • Drafting letters, emails, and other forms;
  • Basic accounting functions;
  • Scanning documents and filing paperwork;
  • Reordering supplies;
  • Posting listings to MLS;
  • Setting up showing instructions;
  • Tracking keys and lockboxes for properties;
  • Completing Listing Agreements, Data Sheets, and other Real Estate Documents;
  • Verifying insurance documents for Tenants;
  • Ensuring utility transfers;
  • and various other tasks.

Hours: 9:00 a.m. - 5:00 p.m., occasional evenings and weekends may be required
