This is accomplished across four geographic management zones which are responsible for the operation of acute care health centres and the provision of a variety of inpatient, outpatient services including academic, tertiary, quaternary care and community based programs and services including continuing care, primary health care, public health, and mental health and addictions.

Reporting to the Manager, Mental Health & Addictions, the incumbent will work in an outpatient clinic which provides service to adults diagnosed with a mental health and/or substance use disorders. The position requires a high degree of sensitivity to persons and families dealing with mental health and/or substance use disorders, many of whom may experience significant stress and crises in their lives.

The Secretary will be required to perform a wide variety of secretarial and administrative duties.

Providing administrative and clerical support to the Outpatient Mental Health & Addictions clinicians and staff
Registering clients through Meditech and arranging appointments
General secretarial duties (processing mail, composing routine correspondence, typing, transcribing dictation, filing, arranging meetings maintaining mail lists, maintaining petty cash, ordering office supplies, faxing, collating, photocopying and answering the telephone)
Maintaining clinical records in the satellite clinics according to policy and procedures of Health Records
Attending meetings, taking and transcribing minutes
Dealing with the public and departments/agencies within and outside the organization
Completion of daily time sheets
Other related duties (such as assisting with virtual care and e-mental health).

Completion of Grade XII plus graduate of a business, office information technology, medical office assistant, secretarial course or equivalent combination of education and experience
Typing speed of 50 w.p.m.
Minimum of three (3) years' experience in mental health & addictions
Demonstrated proficiency in transcribing clinical information
A high degree of proficiency with a variety of office software including word processing, spreadsheet applications
Demonstrated interpersonal and communication skills applicable to this client base (in person and by telephone)
Excellent organization and time management skills
Demonstrated initiative, ability to set deadlines without sacrificing work standard
Competencies in other languages an asset, French preferred

Salary Information

Secretary ll (CL7):
$21.1967 - $23.7159 hourly
