Terms of Employment: Full Time/ Hourly

Job Profile:

Provides financial, administrative and clerical support for all business purposes. This is done by ensuring payments are controlled by receiving payments, processing, verifying and reconciling invoices. The Accounting Clerk is also responsible for processing office employee (and US technicians) payroll and commissions and processing payment for technician invoices accurately and by established deadlines. All accounting duties are done in accordance to company policies and procedures as well federal legislation (through Canada and the U.S) in an efficient, timely and accurate manner.

Key Responsibilities: (not limited to)

  • Collect, review, enter, and reconcile invoices received by technicians and timesheets received by clients, ensuing data collected matches and is recorded accurately.
  • Accurately process payment for payroll for office employees and field technicians
  • Issue payment in accordance to the expensed amounts in appropriate funds (either CAD or US)
  • Ensure accurate record keeping processes for all accounting purposes
  • Perform all necessary account, bank and other reconciliations
  • Office administrative support: perform filing, data entry, and general administrative tasks

Job Objectives/ Daily Functions: (not limited to)

  • Ensure payroll compliance and confidentiality
  • Issue and record pay advances when required and efficient and correctly address any pay related concerns
  • Utilize Intuit software to enter and record payroll data by established weekly deadlines
  • Ensure accuracy in verifying federal ID numbers, appropriate sales taxes or credits to prepare cheques
  • Efficiently resolve any pay discrepancies, contracts, invoices and documents payments
  • Report Sales Tax and wages for workers compensation or other government regulated bodies
  • Maintain accounting ledgers by verifying & posting accurate accounting transactions
  • Prepare and submit customer invoices
  • Prepare and coordinate deposit activities, make bank deposits
  • Monitor customer accounts for non-payments and delayed payments
  • Utilize in-house reconciling process for issuing commissions, bonuses and royalties
  • Assist in month end reporting procedures
  • Find and use accounting data to resolve any accounting problems and discrepancies


  • Intermediate knowledge of Intuit and QuickBooks Software
  • Understanding and general knowledge of Payroll Compliance and Accounting legislation throughout Canada and the United States
  • Must be a quick learner and be able to multi-task efficiently
  • Must be able to make decisions quickly, solve problems and create possible solutions analytically
  • Ability to handle all work functions in a confident manner
  • High attention to detail and accuracy


  • 1-3 Years relevant experience in accounting and payroll
  • Business Administrative Diploma (accounting specialty) an asset
  • PCP Designation an asset
  • Understanding and general knowledge of Payroll Compliance and Accounting legislation within Canada and the United States
  • Intermediate knowledge of Microsoft office – specifically Excel
