Torkin Manes is a vibrant, growing, medium-sized full service law firm located in downtown Toronto. Our 100 lawyers practice in all areas of business law and litigation. We are seeking a Real Estate Assistant to join the Torkin Manes’ team.

Position Title: Real Estate Assistant

Position Type: 1 Year Contract (Maternity Leave)

Hours of Work: To be determined

Position Summary:

The Real Estate Assistant is responsible for (but not limited to) preparing, coordinating, revising, transcribing and organizing legal and administrative documents. Keeping with practice management needs, performs other general office duties as required.

Duties and Responsibilities:

  • Provide administrative support to multiple Partners and Associates, completing a variety of tasks including (but not limited to) scanning, faxing, binding, copy-typing and creation of file folders
  • Performs administrative tasks related to commercial and residential transactions, including performing title searches, corporate searches and preparing report books
  • Professionally interact with all firm members and clients
  • Creates, reviews and proofreads correspondence, reports, memos, charts, forms and other items, ensuring accuracy and completeness
  • Prepare and generate accounts and invoices
  • Schedule and confirm appointments and meetings, as necessary
  • Arrange couriers and deliveries ensuring time-sensitive material is managed effectively
  • Create and maintain files within the real estate department
  • Dead suits files. Reviews and eliminates unnecessary or outdated real estate materials, sending inactive materials to storage


  • Assist with special projects as required
  • Other duties as assigned


  • Legal Assistant Diploma from an accredited institution
  • 3 - 5 years’ experience working within the real estate practice area in a law firm
  • Strong technical skills working within Microsoft Office programs
  • Solid transcription and proofreading skills
  • Ability to communicate in a professional manner and provide exceptional client service
  • Operates with a high degree of accuracy and has strong attention to detail
  • Excellent organizational skills with the ability to manage multiple priorities with ease
  • Familiarity working within a DMS is an asset
