Purpose:
Launched in October 2014, York University's new School of Continuing Studies is rapidly expanding. It will be one of the largest and most innovative of its kind in the country with the potential to reflect the full spectrum of the continuing education field. With unique course delivery models and top quality programs, the School will increase the University's adult and international student population and will be central to the University's overall growth strategy. The Program Coordinator plays a key role in the coordination, delivery and administration of the School's courses and programs. Reporting to the Director, Professional Education Programs and being directed by Program Managers in daily activities, the Program Coordinator is responsible for Coordinating academic schedules, teaching appointments, program logistics, student support, and support in the administration and delivery of the School's courses and programs to adult learners. The Program Coordinator ensures that a high level of customer service is provided to students in these programs, supporting them to achieve their academic goals. and ensures that efficient and effective service is provided to instructors, staff and management within the School.

Education:
College Diploma in Business Administration, or Adult Education or related field is required or two years recent experience (defined as within the last three years ) working at York University and performing the same or similar tasks

Experience:
3 years related project coordination experience, including overseeing complex scheduling initiatives and organizing the availability and appointment of a large group of resources (eg. instructors), administrative processes, and providing client service support. Experience helping students to understand and meet the requirements of a variety of academic policy and procedures. Experience working in an environment with non-traditional academic schedules and a high degree of multi-tasking is preferred.

Skills:
Technical Skills - Typing 45-50 w.p.m., accuracy essential. Intermediate proficiency using Microsoft Office suite of programs, Windows. email software (i.e. Lotus Notes). Advanced formatting skills. Proficiency with project management applications and software (such as Wrike or Asana). Proficiency with project coordination as demonstrated through familiarity of some knowledge areas within the Project Management Body of Knowledge. Proficiency with on-line database (i.e. Oracle) including entering information, running reports, editing data. Ability to use online resources and applications/tools, demonstrated ability to navigate web resources (internet). Proficiency with learning management systems (Moodle), familiarity with customer relationship management systems (Salesforce), familiarity with student registration systems (SIS, SRS). Professional Skills. Ability to deal courteously and effectively with people. Superior interpersonal skills and ability to influence outcomes and accountability of team members to deliver materials on schedule (eg. instructors or publishers) to ensure smooth delivery of programs. Pro-active self-starter who understands the importance of advanced planning, project lead times, course planning cycles, and redundancy planning. Excellent written and oral communication skills. Active listening. effective customer service and interpersonal skills. teamwork. Exercising tact, diplomacy and discretion when dealing with others. Ability to maintain confidentiality. Attending accurately to detail. good organizational skills including setting priorities. Multi-tasking and meeting deadlines. Working effectively under pressure of high volume. Exercising initiative and good judgment. Flexibility. ability to quickly learn and apply new programs and procedures. Punctuality and reliability.
