Asset & Administration Assistant - Wabush (12 Month Contract)
Under general supervision of the Administration Supervisor, the Asset & Administration Assistant is responsible for the general maintenance of the building, houses, yard, production tooling. As well, this position will arrange resources for more complex repairs. This position is also responsible for optimal utilization of service /fleet vehicles administration and compliance with National Safety Code across Canada. Responsibilities also include proactively liaises with branch personnel, to ensure branch’s accounting and administration systems are maintained accurately and efficiently. Responsibilities include branch accounting and financial reporting; computer information systems resource for branch personnel.
Maintains a Safe & Healthy work environment by developing and enforcing policies, procedures and work instructions;
General maintenance of Facility
Performs tasks relating to upkeep of facility including arrangement for the basic repairs for plumbing, electrical, painting, doors, locks, fencing, and signage.
Coordinates contractors for complex and regular repairs and monitors their on-site activities.
Arranges regular routine maintenance of equipment including inspections of air handlers, compressors, lights, overhead cranes, doors, fire and sprinklers systems etc.
Coordinate the cleaning schedules for each houses and building, coordinates schedules contractor for any repairs needed
Manage the quotes /invoices and budget related to building maintenance
Ensure fleet maintenance administration
Meet compliance requirements of the National Safety Code
Ensure timely and effective records management for all fleet services.
Ensure all necessary documentation for service vehicles and equipment is current in database being utilized from leasing company.
Schedule all services and repairs, tracking yearly CVI’s and repairs from CVI’s, tracking of who has what trucks and when
Manage tool inventory in all fleet vehicles on fleet, DOT issues and logbook concerns all GPS issues, registrations and insurance updates.
Develop and maintain good relationships with service vendors and leasing companies for the ongoing service and maintenance of fleet and service vehicles
Community involvement and/or charity events and donations;
Coordinates Branch Activities (Christmas Parties, Social Activities, Chamber of Commerce);
Acts as resource for IT, branch computers, security systems and information systems;
As assigned by Administration Supervisor.
Knowledge, Skills & Abilities
Post Secondary education in the field of Office Administration would be an asset
National Safety Code understanding
Requires knowledge of OH&S acts and regulations
Strong analytical and communication skills.
Planning and organizational skills, including the ability to meet deadlines and complete projects.
Ability to communicate effectively, both orally and in writing, with a wide variety of individuals and groups.
Ability to analyze budgetary expenditures for compliance with approved budget.
A well-grounded, middle level professional by a good knowledge of the organization’s existing systems and the ability to handle most regular issues independently.
Excellent computer skills are a must, as well as having some experience with computerized information systems.
