GradeSlam is looking for a resourceful and energetic problem-solver to contribute to a great working environment for our Montreal-based team. The Administrative Assistant will assist the Executive Team as well as the Head of Administration with multiple tasks and projects as well as provide administrative support to ensure efficient operations of the office. They will also be expected to use their experience and judgement to plan and accomplish goals as well as deliver accurate and high quality work within a timely manner.


  • Stock and manage the inventory of office and kitchen supplies, and furniture, ordering additional supplies as needed, and ensuring that costs are appropriately managed
  • Purchase drinks, snacks etc. for the office
  • Maintaining overall office cleanliness (emptying dishwasher, contacting cleaning company etc.)
  • Assist with special projects (ex: office renovations)
  • Coordinate team building activities
  • Maintain all office facilities and electronic equipment
  • Make employee travel arrangements
  • Track employee birthdays and anniversaries
  • Organize company and office events, as well as assist with other industry and community events the company may participate in
  • Administer and manage inbound/outbound mail, including packages/courier services
  • Liaison with HR as required
  • Assist with paperwork and ad-hoc projects
  • Perform other duties that may be assigned as necessary
  • Assist the CEO and COO in managing their calendars, client and management commitments, travel and/or meeting arrangements (planning itineraries, meeting material, reporting expenses, etc.)
  • Receive and greet guests to the office
  • Manage telephone, email and in-person inquiries from clients, business partners and other parties in a timely manner
  • Draft/edit any correspondence as required
  • Assist with new employee on-boarding and orientation to the office

Required Qualifications

  • Experience supporting executive teams in high growth companies
  • Relevant diploma, certificate or degree from a college or university
  • Interest in startups and technology
  • Excellent communication, interpersonal and organizational skills (via phone, email and in-person)
  • Demonstrated professionalism and an understanding of the importance of confidentiality
  • A problem solver and proactive thinker, anticipating the needs of the team
  • Solid experience with the full Microsoft Office suite of software (Word, Excel, Powerpoint) and expense systems
  • Strong attention to detail with meticulous organization skills
  • Excellent written and verbal communication skills
  • Highly motivated, flexible, and adaptable self-starter with a positive attitude

Additional Qualifications

  • Bilingual (English & French)
  • 3+ years of Experience as an Administrative/Executive Assistant
  • Start-up Experience
  • Event Planning Experience
  • Office Management Experience


$45,000 - $50,000 based on experience
