Office Assistant/Receptionist (15-month maternity leave contract)

LivaNova Inc., a leading global Medical Device Company is searching for a highly motivated, detailed oriented individual to join as Office Assistant/Receptionist .

This position will be responsible for administration and reception duties which will involve a wide range of complex and confidential administrative duties. The office assistant/receptionist will be required to possess exceptional public relations and customer service skills and exhibit superior organization. To be successful in this role, the candidate will require a minimum of 2 years’ official/clerical experience.

Our Office Assistant/Receptionist contributes to our growth and success by:

Preparing and editing various reports, correspondence, internal memos & other documents
Organizing meetings & appointments and maintaining accurate files & schedules
Arranging company events and programs on a regular basis
Coordinating national/international travel and accommodations for employees, internal/external customers and other stakeholders
Distributing & reconciling petty cash, preparing and auditing expense reports
Purchasing office/general supplies, confectionery items, service and recognition awards on a regular basis
Administering FedEx shipments, mails, faxes, couriers and other items
Assisting HR in job posting both internally and externally
Coordinating onboarding activities and arranging trainings for new hires
Providing friendly and courteous service to all employees and external customers
For this role, ideally you should have a High school education plus a two-year college program. You should demonstrate initiative, have excellent communication skills and be capable of performing daily work assignments in a professional manner with moderate supervisory inputs. You should be detail oriented and able to work under pressure in a highly regulated environment.

Along with all of this, strong computer skills (MS Office, particularly Word & Excel) and have good knowledge on computer software including automated systems, and electronic mail are a must.
