We are recruiting for an energetic, personable individual for the position of Office Assistant/Receptionist. This is a front-desk position; the face of the Company, requiring a personable individual who presents themselves with professionalism. You will be handling incoming calls using a 9-line phone system within a 30+ office setting, greeting clients and visitors, handling and processing paperwork and mail, maintaining a file system and performing general clerical functions. This is a Monday to Friday full-time position.

Principal Responsibilities:

Overall: You are responsible for all reception and administrative functions, including various data entry functions.

  • Managing a multi-line phone system for 2 companies (30+staff);
  • Greeting and announcing guests;
  • Make boardroom and other reservations (hotel, restaurants etc.);
  • Help organize lunch for meetings;
  • Update Outlook calendar;
  • Keep the office in a tidy appearance, preparing for daily needs (copier paper, sign in/out binder);
  • Maintain office supply inventory and place order;
  • Process outgoing & incoming fax documents, courier, mail and updating postage machine;
  • Document management – File, scan, help with annual rotation;
  • Initiate service repair calls for office copiers/equipment;
  • Create and maintain data in a spreadsheet format using Excel;
  • Data entry to Sage 300 CRE software;
  • Office errands.

Requirements and Qualifications:

  • Post-secondary education in Office Administration;
  • Great people skills, friendly and well-organized;
  • Good computer skill (MS Office Excel, Outlook, Word, Power Point);
  • General knowledge of data entry functions. Sage 300 CRE an asset;
  • Strong problem-solving skills, mathematically inclined;
  • Must have exceptional English communication skills (verbal and written) ;
  • Confident in skills to work with minimal supervision;
