Duration of assignment: Up to 6 months
Participate on a team providing a wide range of administrative services to clients and customers performing various business functions.
Perform various tasks associated with a basic level of administrative support such as information processing and data input to Hydro One and external web-based programs, map and diagram printing, mail, sorting, telephone/counter inquires, distribution of various material for corporate programs, file maintenance, corporate charge card statement filing and retrieval.
Operate and maintain office equipment and requisition and maintain office and safety supplies.
Perform various tasks such as information processing/updating and data input to Hydro One and external web-based programs (such as SAP).
Perform printing, mail, sorting, distribution of various material for corporate programs, file maintenance, corporate charge card statement filing and retrieval.
Operate and maintain office equipment and requisition and maintain office and safety supplies, as required according to established procedures.
Perform a variety of duties such as responding to customer and client requests via mail, telephone, counter, e-mail, courier or via the Customer System, as well as supplies replenishment and general clerical assistance.
Redirect customers to where their service needs can be obtained when required.
Assist in the plotting, trimming and collating of drawing plots, as required.
Operate and maintain office equipment such as photocopier, fax machine, printers and plotters.
Assist staff with basic machine operations and malfunctions.
Change paper, ink and toner in various machines, when required.
Monitor, on a regular basis and in various locations, to ensure adequate paper and toner supplies.
Ensure machines are in good working order and area is tidy.
Act as a single point of contact with regards to equipment malfunction.
Report problems to Supervisor.
Perform mail reviewing, processing, sorting and delivery, courier processing, fax transmission and photocopying services.
Provide reproduction requisition services including package assembly, checking for completeness and distribution services.
Perform clerical activities such as filing, file control follow-up, retrieval and return of records and information searches of a minor nature (gathering data) in accordance with established procedures or as instructed by designated personnel.
Assist in providing administrative support services on special projects, as directed.
Perform other duties as required.
Requires a knowledge of office principles to perform data collection and input activities and file maintenance. Requires facility in the use of keyboard-style devices for Microsoft Office program and web-based processing activities.
Requires a knowledge of English to communicate effectively with others.
This knowledge is considered to be normally acquired either through the successful completion of Grade XI in a Secondary, Commercial or Technical School or by having the equivalent level of education.
Requires familiarity with the established procedures and practices associated with general office activities such as printing, plotting, file maintenance, verifying accuracy, retrieval of records, requisitioning of office and safety supplies and performing information searches.
Requires experience in the recognition and processing of specific data.
Requires some familiarity with general organization of the areas serviced and the interdependencies of groups. Requires experience in the operation of computer terminal.
A period of up to one year is considered necessary to gain this experience.
