Administrative Assistant to the General Manager

(Contract Position – Maternity Leave Coverage)

Overall Responsibilities:
Improve the effectiveness of the Information Technology Department by providing administrative, technical, project and logistical support to the Director, GMs, Managers, and other departmental staff.

Accountabilities include:
Improve the effectiveness of the IS Department by providing administrative, clerical, technical, project and logistical support to the Director, GM’s, Managers, Leaders and other departmental staff.
Perform the prescribed functions of the BUC role
Perform all administrative support to the General Manager of IT Dept.
Prepare timely, error free reports, presentations, visual aids and spreadsheets
Administer all aspects of the dept. budget (i.e. perform monthly budget analysis & reporting, & coordinate the roll up of the annual dept. budget)
Prepare monthly budget variance reports and reports required for Americas & Global IT
Coordination of the management team performance reviews
Monitor Department metrics
Miscellaneous support (e.g. Coordinate travel arrangements & prepare itineraries, maintain confidential records)
Clarity Content Management Site Administrator (Maintain and extend departmental information forming part of the corporate internet using web content management tools)
Perform general IS administrative functions as required
Backup to other IS admin support staff as required
Provide Administrative support on special (one time) projects as required (e.g. new dept. procedures implementation)

Perform the following IS Dept. functions:
Increase productivity of meetings and events by managing meeting logistics such as scheduling, arranging facilities, arranging visitor passes, obtaining required equipment, food/refreshments and addressing safety issues
Perform purchasing related functions (4 site dept. power user, CMMS, Grand & Toy)
Coordinate and track Departmental training and Tracess.
Facilitate all personnel moves, new hires/transfers, departmental functions, retirements, milestone celebrations, Take our Kids to Work and visitor luncheons.
Liaison with HR for all IS staff related information
Ensure compliance of IS staff to corporate policies (i.e. attendance, payroll)
Liaison with Security for security related matters
Process owner for the IS Employee Annual Performance Review Process.
IS Health & Safety Day organizing committee member representing IT
Performs part time duties of an IT Security Administrator.
First point of contact for all Audio/Video Conferencing calls.
Backup for the other IS Administrative support for illness and vacation relief.
Provides mentoring and assistance to the other staff in the area of budgeting, local budget development, tracking and reporting.
Clarity Content Management Site Administrator (Maintain and extend departmental information forming part of the corporate internet using web content management tools)
Provide administrative support on special (one time) projects as required (i.e. Automation of OverTime Sheets, SAP-HR)
Coordination of specific IS management team functions
Maintain confidential dept. personnel records
Administration of staff compensation, job changes, and performance reviews
Office Coordinator for IS staff. Major areas of responsibility include:
Perform housekeeping activities (scheduling cleanup days, etc.)
Coordinate office equipment maintenance, repairs, staff moves
Administer the records management program
Liaison with janitorial services and the Security Dept.

Office Administration College Diploma and at least 5 years equivalent work experience.

Proficiency in MS Office including Microsoft Teams, Skype, Excel, Word and Outlook

Knowledge & Skills:
Must demonstrate knowledge of corporate administrative processes and systems (e.g. Payroll, Human Resources, Security, Budgets)
Must demonstrate knowledge of functions carried out within Information Systems
Must demonstrate professional demeanor.
Must demonstrate advanced skills in personal computing and corporate / dept. standard software
Must demonstrate good communication skills (written, verbal).
Must demonstrate ability to be self-motivated, work independently with minimal supervision, good organizational & time management skills and work well in a team environment.

Hours of Work:
Days, Monday to Friday with occasional extended hours required to meet deadlines.
