Reporting to the Faculty Administrator, the Registration Assistant will provide reception services and answer phones in the Science Student Services Office. Working on campus, the incumbent provides face to face assistance to students and staffing the Science Student Services front desk.
Answer student inquiries related to registration procedures in-person and via phone and email and assist with registration: on-line registration, permit overrides, update majors, etc;
Direct students to appropriate advisors and schedule appointments for Science academic advisors and the Associate Dean (Academic);
Sort and distribute mail;
Maintain an in-depth knowledge and understanding of Science policies and procedures and use this acquired knowledge to provide accurate information about our procedures and program curriculum;
Assist and support faculty, staff and students in the interpretation and implementation of Science academic policies and procedures relating to students;
Prepare statistical reports relating to student and registration information;
Effective and up-to-date file management of all electronic and paper documents for Science students;
Assist with the coordination and organization of key academic processes including convocation, academic action, Dean’s Honours’ List;
Work with other staff in the Student Services Office and throughout Science on committees/teams to develop and implement improved procedures; long and short term office goals;
Assist with the organization of events, activities and programs;
Performs other related duties as assigned including student recruitment and retention as required; and,
Work with other Science staff, sharing maintenance of the Science website and photo files.
Grade 12 supplemented by the successful completion of a recognized business course and three years of experience directly related to university student issues. A suitable combination of education and experience may be considered.
Demonstrated knowledge and skill in the use of Microsoft software including Word and Excel;
Demonstrated knowledge and skill in the use of e-mail systems such as GroupWise including maintaining calendars and scheduling appointments;
Demonstrated knowledge and skill in office practices;
Demonstrated receptionist and customer service skills;
Knowledge of the university community and academic programs;
Knowledge of university admission policies and procedures would be an asset;
Ability to work independently and as part of a team, including strong communication skills;
Ability to deliver excellent student service dealing courteously and effectively with international and domestic students;
Ability to make effective administrative/procedural decisions and recommendations;
Ability to maintain confidentiality of records and information;
Ability to create, compose, and edit written materials;
Demonstrated ability to organize multiple assignments, while maintaining accuracy and attention to detail;
Experience with international students is an asset; and,
Experience with or knowledge of the Faculty of Science would be an asset.
Physical Demands Pay Grade CUPE Phase 4 Salary Range $41,241.20 - $55,710.20 Annually Status Term Work Hours
8:00 am – 4:30 pm
