Fusion Homes is searching for a motivated and organized customer service professional to join our team as Administrative Coordinator.

This is a tremendous opportunity to provide direct impact and support to multiple teams and stakeholders across the organization. As Administrative Coordinator, you will support the Administration team in providing our customers and internal teams exceptional customer service.

As Administrative Coordinator, you are always one step ahead. You have a knack for anticipating needs and adapting to fast-changing circumstances to get things done. You thrive in a fast-paced, agile environment with strong communication, and impeccable organization and problem solving skills.

Responsibilities will include:
Answer phones/fax, direct calls and/or take messages and distribute to appropriate personnel
Manage email inboxes, including Reception email and General Information email
Receive, date stamp and direct mail to appropriate individual
Manage all incoming/outgoing courier packages
Welcome all guests, advise personnel of their arrival
Maintain office supply cupboard and order supplies weekly or as necessary
Photocopier/printer maintenance (point person for service maintenance, toner, etc.)
Maintain organized filing systems
Prepare and clean reception, hallways and meeting rooms throughout day
Clean and organize storage rooms and inventory content
General administrative support, including but not limited to: reviewing Reservations, Firmings, Exteriors & Interiors, entering Sales Documents in Progress Reports, processing of Preliminary & Final Extras, Distribution of Drawings to Vendors, etc.
Ensure Head Office is clean, neat, and functioning at its best at all times
Manage Facility Management costs to stay on budget
Schedule & coordinate all Head Office service and maintenance with subcontractors and Fusion personnel to ensure timely resolution
Manage waste & recycling program for Head Office

Qualifications:
Experience in a receptionist or coordinator role
Strong interpersonal skills and the ability to interact comfortably with a wide variety of colleagues and professionals (both within and outside the company)
Advanced Microsoft Suite skills
Strong organizational skills, with the ability to manage multiple files and changing priorities
Strong problem-solving skills with the ability to generate recommendations for solutions
Meticulous attention to detail and effective coordination skills
The ability to work in a high-volume, fast-paced environment
