As an Office Manager in Xactly's growing Toronto office, you will be responsible for managing the front desk lobby which includes handling phone calls, scheduling meetings, and greeting customers and visitors. You will also be responsible for managing all food orders for the Toronto office including quarterly lunches and daily group and team lunches. Additionally, you will be responsible for ordering office supplies for our supply rooms as well as individual employee requests. We are seeking an upbeat, assertive, efficient, and motivated individual who wants to be a part of a thriving Company.

Responsibilities:
Demonstrate professional business etiquette when greeting guests while following appropriate security measures: verify ID, issue visitor badges, sign-out guests
Liaison with other Xactly offices
Answer, screen and forward any incoming phone calls and provide basic information when needed
Greet candidates for interviews and new hires, escort to interview room, and provide overall strong candidate experience
Heavy management of calendar logistics for all meetings scheduled in conference rooms
Efficiently and accurately manage inbound mail shipments as well as create shipping labels for outgoing shipments
Maintain a good relationship with a variety of vendors used regularly
Order catering for meetings ranging from 5 to 30 people daily
Complete various projects assigned by management and sales teams, which may include mailers, new hire packets, and setting up meetings
Track office supply inventory in all supply rooms, stock and reorder as needed
Submit tickets to building regarding any office issues outside of office unit
Serve as the point person for maintenance and repairs
General office clean-up - examples: run the dishwasher and empty it, collect cups from boardrooms and other central places, clean the whiteboards
Manage and update various company forms such as organizational charts, phone list, templates, etc.
Prioritize projects and complete work accurately and in a timely manner
Manage the receptionist email account by answering all emails in timely manner
Onsite coordinator to assist IT when handling of local equipment is necessary (onboarding and offboarding of machines/laptops, tracking assets, controlling inventory).
Onsite coordinator to assist HR for onboarding and offboarding, handling hard copies of agreements.

Required Skills:
Excellent written and verbal communication skills
Ability to organize, multi-task, prioritize and work in a fast-paced work environment with a passion to succeed and take on new initiatives and tasks as needed
Experience interacting professionally with corporate business clients
Outstanding organizational and time management skills
Experience with Gmail and Google Calendar highly preferred
Experience with Word, Excel and Powerpoint
Bachelor’s degree or equivalent years of experience
1-2 years Receptionist or Administrative experience preferred
