We are growing and we are excited that we have a newly created position of Service Writer. The Service Writer is the primary face between the Maintenance department and our drivers, owner operators, dispatch and operations departments of Len Dubois Trucking Inc.

The position requires strong communication skills both oral and written. The Service Writer plays a key role in the organization and must work closely with all of our internal departments to ensure all units maintenance, repairs, and parts are recorded on work orders in a timely fashion.

Duties and Responsibilities:

Reporting to the Maintenance Manager, the Service Writer will be primarily responsible for daily data entry of work orders, ordering parts, inventory control and the coordination of work flow on the shop floor. This position will provide support to the maintenance manager and the maintenance department team.

Key accountability:

  • Generate work orders for repairs required on each unit
  • Greet our internal and external drivers and owner operators promptly
  • Obtain vehicle information, review vehicle repair history and verify any needs for maintenance and repairs
  • Clearly report all vehicle symptoms as described by the driver or owner operator, using specific descriptions
  • Assign work to maintenance mechanics in accordance to timelines and parts availability
  • Review work orders to ensure assigned labour, parts or misc. shop supplies are correct according to repairs performed
  • Prepare a complete and accurate estimate/cost for labour and parts for owner operators
  • Assure that special order parts are correct for repairs to vehicle
  • Handle driver and dispatch inquiries in a courteous manner
  • Verify that the final invoice reconciles with the work performed on the work order
  • Notify drivers or owner operators with additional work required with charges associated with repairs or delays this may cause
  • Recap completed work to drivers or owner operators when required
  • Coordinate with dispatch/operations team for next maintenance appointment and scheduling
  • Oversee inventory and inventory control for parts delivery and assignment on work orders
  • Perform other duties as assigned by the Maintenance Manager
  • Update vehicle maintenance records
  • Support and reinforce various maintenance and inventory control processes


  • Proficient in Microsoft Office - Excel, Word, Outlook,
  • Experience with Truck Mate or similar Repair & Maintenance programs or other similar R&M software would be considered an asset
  • Minimum three (3) years’ experience in a Service Writer role would be considered an asset
  • Occupational safety and health experience
  • Exceptional interpersonal, oral and written communication skills
  • Superior customer service and relationship management experience an asset
  • Highly organized and detail focused; ability to, manage time appropriately, work under pressure, and meet deadlines
  • Proactive with the ability to problem solve and anticipate needs
  • Demonstrated professionalism and an understanding of the importance of confidentiality
  • Valid Class 5 F vehicle driver’s license, a reliable vehicle and be available to travel if required
  • Multitask and prioritize in a fast paced environment
  • Detail oriented
  • Must be a team player with the ability to work independently when required
  • Excellent phone, customer service skills
  • Team – oriented approach to problem resolution
  • Ability to manage a busy schedule with constant changes (flexible)
  • Class 3 air endorsed or class 1 a drivers' license would be considered an asset
