The Coordinator, Technical Training is accountable for all the training administrative functions within the Corporate Technical Training team in order to meet EPCOR’s technical training requirements. This includes updating and subscribing employees to training based on Health, Safety & Environment (HSE) and operational requirements, tracking of records, creating certificates for courses, programs and sessions, manage master development and training schedule documents while maintaining a positive professional relationship with internal and external stakeholders. In addition, this position is responsible to work with external vendors, manage Learning Management System (LMS) records and build and maintain the Corporate Technical Training SharePoint site and ensure training development and materials are accurate, current and easy to find. The Coordinator will ensure that administrative systems, processes and deliverables meet or exceed the needs of the Technical Training team and Business Unit clients. Detailed Description
Reporting to the Manager, Technical Training, the Coordinator, Technical Training is accountable for:
Training Management – Support supervisors with updating and subscribing employees to training based on HSE and Operational requirements. Enter information into the Learning Management System (LMS). Develop, manage and run reports as required. Create and maintain course and development calendars in LMS & SharePoint. Verify data in LMS and communicate information on a regular basis to supervisors and managers.
Records Management – understand LMS processes and create certificates, courses, offerings, classes and sessions. Make equivalencies, create learner groups, verify LMS data for accuracy with certifications and dates. Upload e-learning quizzes and training materials as prescribed for the Corporate training group.
LMS Management - Act as an expert within EPCOR for data storage and retrieval within LMS and act as the Corporate Training team’s expert in any cross functional groups related to LMS system updates, enhancements and any testing (UAT) requirements.
Coordinate training with Business units – manage master development and training schedule documents. Schedule dates with internal and external vendors, coordinate with supervisors, business units and other stakeholders and support enrolment of employees into common training, send out course confirmations, enter training results into LMS and pay vendors as required.
Manage training facilities, including material availability and supply availability. Coordinate with appropriate groups.
SharePoint Administration – design, create and maintain the Technical Training SharePoint webpages. Create records in SharePoint, maintain information and links. Upload e-learning training. Act as a SharePoint expert within Corporate Technical Training.
Process Development – administer processes, procedures, templates, standards, branding guidelines, and best practices that align with department and corporate policies that support learning and development.
Client Support – answer questions about training, maintain a positive working relationship with EPCOR employees and external vendors/clients, and assist with problem solving on a regular basis.
Ensure the delivery of optimal results against appropriate performance metrics. Superior customer service to internal and external clients, capturing and delivering critical knowledge/information.
Manage contract administrative requirements with vendors and assist when required to ensure a high level of quality programming, where costs and performance are aligned with contract expectations, and contracts contain all pertinent information related to managing service providers in a training capacity.
Assist with research practices and standards in support of the technical training function and manage aspects of projects (as assigned) by the Corporate Technical Training team.
Demonstrate a high performance, high discipline, safe, accountable, focused, innovative and achievement-oriented, easy to do business with manner of working.
Act as back up for the Coordinator, Fleet Services when required.
The successful candidate will possess the following qualifications:
Minimum of Grade 12 diploma or equivalent
Post-secondary education in Business Administration.
Extensive experience coordinating complex meeting logistics ideally in a learning environment.
Extensive experience in document management ideally in a SharePoint environment.
Ability to redesign administrative processes and optimize administrative systems. Experience in technical writing or business communications is an asset.
Direct experience using Learning Management Systems.
Advanced proficiency in Microsoft Office Suite and SharePoint.
Advanced knowledge of Oracle LMS and learning management systems.
Highly skilled at planning, coordinating and leading complex meeting logistics.
Advanced verbal and written communication skills.
Able to prioritize tasks based on client and operational impacts.
Proven organizational skills with strong attention to detail.
Strong problem solving, decision making and analytical skills.
Able to liaise effectively with vendors and external stakeholders.
Knowledge of legislative requirements regarding training and education in a utility environment would be an asset.
Proficient knowledge of process Improvement concepts including Six Sigma would be an asset.
Wage: $29.75 to $35.49 (Final Wage and Step will be determined at the time of selection and is based on a combination of factors as outlined in the Collective Agreement that may be found online.)
Hours of work: 8 per day, 40 per week
