Lumency is currently recruiting for a full time permanent Event Account Coordinator (Associate Consultant | Experiential) to support our Experiential Team with Experiential Marketing activations and manage client's promotional vehicles.

Reporting to the Consultant | Experiential, the Event Account Coordinator is responsible for supporting the team in the execution of assigned experiential programs, including strategic alignment, planning, execution, budgeting and reconciliation.

Duties and Responsibilities

Event Planning:
Assist in venue sourcing
Contribute to new ideas for projects and programs
Develop and track project workback schedules
Research and develop training documents for in-field team development
Oversee shipping, vendor, travel and accommodation logistics
Source program materials that align with client and program goals

Fleet (Vehicle) Management:
Strategically plan and facilitate vehicle fleet orders with client’s internal fleet administration team
Track and audit fleet unit inventory
Receive fleet incident reporting and insurance claims
Coordinate repairs, cleaning and service with dealers and preferred vendors
Develop fleet focused assets for the Lumency team (training material, collateral, legal, forms, keys
Plan and facilitate basic vehicle training and attend new client product launch briefs and product training where required

People Management:
Conduct training for in-field team members on projects
Manage and support in-field team members throughout each project

Relationship Management:
Support the ongoing cultivation of positive partnering relationships with clients
Foster relationships with vendors and other agency partners
Understand client's what, how and why statements
Maintain clear, open lines of communication with people manager, workgroup and agency at large

Culture Cultivation

Support ongoing develop of a positive agency culture
Act as a Lumency champion in the marketplace

Other:
Other duties as required

Work Environment: This role works out of the Lumency open-concept, dynamic office and requires daily computer work (research, typing, etc.). This role may require travel to event locations across Canada.

Travel Requirements: This position will be based in Toronto, with one day a week required at our client's office in Scarborough. May require travel within the GTA and Canada (up to 40%).

Skill Requirements

Education:
Post-secondary education in communications, marketing, and/or event planning (an asset)

Experience:
Six (6) months to one (1) year of related experience in an event planning role
Experiential marketing agency experience is considered an asset
Experience with automotive industry or promotional work is considered an asset

Other Qualifications:
Full "Class 5" or "G" Driver's Licence
Certification / Coursework in Microsoft Excel and PowerPoint is considered an asset

Skills and Abilities:
Strong interpersonal and relationship building skills
Excellent communication skills (written & verbal), ability to effectively communicate with clients, vendors, suppliers and co-workers
Ability to read specialized and technical materials
Superb problem solving skills
