Position Title: Maintenance/Tenant Services Coordinator

Pay Range: Commensurate with experience

Reports to: Senior Manager of Maintenance and Capital Asset Planning

Property Services ensures the prudent management of the organization’s portfolio of property assets including planning and delivery of property maintenance activities.

Primary Objectives:

  • Handles all incoming service requests via phone and email.
  • Enters all service requests into work order / service request software.
  • Monitors completion of service requests.
  • Provides daily reports in line with key performance indicators for service requests.
  • Performs a variety of administrative and clerical functions.

Key Responsibilities:

  • Ensures maintenance requests are processed according to the standards established by the Senior Manager of Maintenance and Capital Asset Planning, including:
  • receiving, reviewing, tracking, approving and prioritizing maintenance work requests;
  • issuing and tracking vendor purchase orders;
  • participating in daily maintenance scheduling meetings; and
  • tracking progress of maintenance activities and reporting related problems/issues to the Senior Manager of Maintenance and Capital Asset Planning.
  • Performs a variety of clerical and general office support functions including:
  • preparing and typing correspondence, letters and reports, ensuring timely response to inquiries and issues;
  • maintaining filing systems;
  • identifying potential health and safety risks in each work order / service request;
  • must be willing to be ‘back up on call’ a minimum of one week per month; and
  • other duties as assigned.

Qualifications (minimum Education and Experience requirements)


  • A Diploma or Degree in Administration, Office Assistant, Business, or Property Management would be preferred.
  • Training in related administrative duties – such as database management.


  • A minimum of 3 years’ experience in an administration role, office assistant, property management, or related environment.
  • Experience using Yardi Voyager and/or Ameresco Asset Planner would be a distinct advantage.
  • Technical building systems such as basic plumbing, electrical and HVAC.
  • Working in a high-volume call center environment.

Note: An equivalent combination of education and experience may be considered.

  • Attention to detail.
  • Strong organizational and time management skills.
  • Ability to multi-task.
  • High degree of accuracy when working with sensitive files.
  • Excellent communication, presentation and problem-solving skills.
  • Proven ability to work effectively and collaboratively with other stake
  • Proficient in MS Office programs including Word, Outlook and Excel.
  • Knowledge of Yardi Voyager Property Management software and or Ameresco Asset Planner an asset.

Additional Criteria for Role:

  • Completion of a Criminal Record Check through the Ministry of Justice is required.
  • Must have a valid driver’s licence.
