Overview of Position:

Under the direction of the Team Leader and Director, Mortgage Servicing, the Property Tax Servicing Specialist is responsible for managing incoming property tax payments and outgoing remittances with various municipal authorities in a timely and efficient manner. The Property Tax Servicing Specialist plays an important role in the growth and success of our client’s mortgage business.

Job Responsibilities:

  • Remit property tax payments to appropriate municipalities within defined timelines
  • Monitor the adequacy of customer tax account balances and payments, adjusting when necessary
  • Communicate with customers regarding their tax accounts and any payment adjustments
  • Maintain existing municipal profiles in the database including contact information, remittance methods, service charges and payment due dates
  • Action all inquiries related to property taxes
  • Review tax arrears, action appropriately on a timely basis to avoid a tax sale
  • Prepare and distribute reports on a timely basis
  • Keep up to date on the various property tax legislation and policies
  • Maintain best-in-class relationships with municipalities, customers and solicitors
  • Maintain operational excellence, using all available resources, escalating when necessary, to maximize efficiencies and provide quick turnaround times
  • Identify continuous improvement opportunities
  • Assist with the development of procedures, forms, reports and training materials
  • Provide the highest level of support towards the cross-departmental mandates and goals, of originations, servicing and finance
  • Strict adherence to all our client’s business area and AML/ATF policy and procedures

Qualifications & Attributes:

The successful candidate will have:

  • Minimum 3 to 5 years of mortgage experience in a mortgage servicing role
  • Experience with property tax servicing is required
  • A passion for exceeding servicing expectations and an ability to deliver on those expectations
  • Able to quickly set priorities, remain disciplined and organize workload through effective time management
  • Detail oriented with acute attention to accuracy
  • Able to work in a paperless environment
  • Comfortable using multiple system platforms simultaneously
  • Self-motivated with the ability to work both independently and with the team
  • Ability to adapt to a fast paced, changing working environment
  • Effective in maintaining prosperous relationships
  • Capability of thriving in a growing and entrepreneurial environment
  • Desire to continuously develop and take on new challenges
  • Proficient in Microsoft Office specifically Microsoft Excel

Job Complexities/Thinking Challenges:

The Property Tax Servicing Specialist should be comfortable simultaneously managing multiple files and tasks of greater complexity. While individual tasks may not be difficult, the volume, various requirements of each municipality and individual customer circumstances, all demand above-average multitasking abilities, presence of mind and proven ability to work under pressure.

The Property Tax Servicing Specialist is required to follow guidelines to manage work efficiently and accurately; however, many unexpected situations do arise which must be handled with versatility, creativity, patience and an understanding of the common goal.
