Faculty of Arts & Social Sciences - World Languages and Literatures
Provides confidential secretarial and administrative assistance to the Chair of the Department of World Languages and Literatures (WLL) and Manager by receiving visitors; answering and screening telephone calls; making appointments; arranging travel, timetables, and meetings; composing routine correspondence and signing as authorized. Responds to inquiries from staff, faculty students and the general public regarding WLL courses. Arranges departmental and committee meetings for WLL; transcribes and distributes minutes of meetings. Develops and maintains faculty, budget, chronological and correspondence filing systems. Processes all expenditures for non-salary budgets. Administers the distribution of Petty Cash. Assists with annual budget preparations. Prepares postings/advertisements, responses to applicants, and appointment paperwork for applicable teaching staff. Coordinates, oversees and processes completion of WLL teaching evaluations. Assists the Manager in the production of print-ready promotional program materials.
High school graduation and one year of post-secondary education or formal program equivalent, including courses in word processing, spreadsheet, desktop publishing and database applications; bookkeeping and secretarial and/or office practices.
3 Years minimum experience.
An equivalent combination of formal education, certificate/program of study ad experience is acceptable.
60 wpm keyboarding with a high degree of accuracy.
Good knowledge of book-keeping methods and practices.
Knowledge of university and departmental programs, policies and procedures.

Ability to use enterprise level information systems (i.e. PeopleSoft) at an intermediate level.

Ability to use desktop publishing, web updating and graphics applications (i.e. Adobe Contribute and Dreamweaver) at an intermediate level.
Ability to work independently.

Ability to lift or move office supplies weighing up to 10 kg.
