The Technical Services and Operations Team within Information Technologies is currently seeking a Full-time Limited Term Coordinator, Technical Systems for approximately 1 year.
This position reports to Senior Specialist - Enterprise Communications and Data Centre. There is an expectation of shifting schedules and hours to meet the demands and responsibilities of the role and team. The incumbent is subject to a large work volume and shifting responsibilities that will have a strong impact on the value and reputation of both the IT Division and the University of Calgary as a whole.
This position involves the ability to manage multiple and often conflicting priorities, simultaneous deadlines, complex issues, and a rapidly evolving environment. The incumbent must work well under pressure and be able to communicate effectively with all levels of the institution and with external stakeholders. The individual works independently, with guidance in only the most complex situations.
Summary of Key Responsibilities (job functions include but are not limited to):
Project Management and Documentation
Coordinate the delivery of all system designs in a timely manner and ensure that they are aligned with the IT architectural standards and roadmaps
Define initiatives scope, goals and deliverables that support business goals in collaboration with senior management and stakeholders
Coordinate the delivery of IT deliverables in accordance with project schedules
Plan and schedule project timelines and milestones using appropriate tools
Ensure all team members have appropriate escalation paths in place and provide additional escalation support where required
Interface and communicate with the Facilities Project Management Office Project Managers as well as IT Technical Services in relation to Facilities driven projects
Provide timely status updates, and relay any risks to the Project Manager
Determine the frequency and content of status reports from the project team, analyze results, and troubleshoot problem areas
Ability to analyze multiple sources of information to help solve complex issues that may arise
Oversee on site installation work, and ensure that all internal/external resources follow with University of Calgary standards, as it relates to both the technical and safety guidelines
Ensure the effective planning, preparation, execution and monitoring of IT schedules and costs to align with construction schedules and budgets within established parameters
Lead in the creation and assembly of all documentation which complies with current IT service offering standards
Develop best practices and tools for project execution and management
Make recommendations for improvement of procedures/policies to increase efficiencies and provide more value to the stakeholder
Responsible for ensuring that all technical design and contracts with 3rd parties are documented and submitted for review with various parties
Oversee the schematic and detailed designs, and ensure that all construction related specifications are in line with IT standards and specifications
Qualifications / Requirements:
It is imperative that the incumbent for this role has a strong sense of ownership, is a strong team player, and can balance technical capabilities with business needs
Experience identifying and developing end-to-end solutions to address changing business requirements is essential
Strong organizational, interpersonal, and written communication skills, and the ability to communicate effectively with staff is essential
Ability to effectively disseminate and explain complex information to stakeholders
Business acumen and an understanding of university´s operations is also expected
Demonstrated experience in successfully leading and negotiating people both directly and indirectly across an organization will be expected
An Undergraduate Degree or a combination of relevant project management/coordination certifications and work experience
Minimum of 3 years of experience in leading/coordinating IT teams
Minimum of 3 years of experience in successfully delivering IT Projects
Coordination of individuals
Knowledge of IT governance and operations including PMBoK, IS CSOx, COBiT and ITIL would be an asset
Ability to communicate clearly and concisely to diverse audiences, in both oral and written form
Experience of working on concurrent projects and effectively managing conflicting priorities
Understanding of Service functions inside of Project Management
Interface and communicate with the Facilities Project Management Office as well as IT Technical Services in relation to Facilities driven projects
Ensure the effective planning, preparation, execution and monitoring of IT schedules to align with construction schedules and budgets within established parameters
Assist Project Managers and stakeholders with identifying project technology decisions and recommendations
Direct the creation and assembly of all documentation which complies with current IT service offering standards
High energy, confident individual that communicates with passion and authority
Ability for the incumbent to mentor other colleagues in areas of their expertise
