Executive Assistant
Permanent Full-Time
Location: Happy Valley- Goose Bay

The primary purpose of this position is to provide advanced secretarial, clerical and administrative support to the office of the Senior Director of Operations/Regional Director of Long-Term Care, Labrador Health Centre and other members of the management team of the Director.

Qualifications and Experience:
" Graduation from High School supplemented by graduation from an approved two year office administration course;
" Minimum of five years' work experience at a senior support level;
" Computer literacy with extensive knowledge and ability to use computer programs, including word processing, spreadsheets, databases, desktop publishing, internet and e-mail;
" Ability to function in an extremely confidential environment and maintain this high level of confidentiality at all times;
" Strong organizational, communication, interpersonal and time management skills;
" Ability to work independently and with others;
" Ability to work efficiently in urgent situations;
" Ability to respond diplomatically to public and client requests and ability to prioritize and determine appropriate referral of requests is essential;
" Experience in planning, scheduling and coordinating meetings, presentations, reports and related activities;
" Must have a satisfactory record of attendance;
" The successful applicant will be required to submit a satisfactory Certificate of Conduct.

Duties (Include but not limited to):
" Provides word processing, filing, faxing, photocopying services, and appropriate disposal of confidential information;
" Screens callers, identifies problems, obtains and suggests solutions; maintains highly confidential files, completes travel arrangements and accommodations;
" Receives, composes, types and, on behalf of the managers being supported, signs correspondence and memoranda in their name during their absence; drafts, types and signs letter of acknowledgment;
" Screens all correspondence, draws attention to any requiring immediate action, and copies where necessary to relevant department heads;
" Prepares bi-weekly payroll for staff reporting to the Senior Director of Operations/Regional Director of Long-Term Care;
" Researches and obtains specialized information from a variety of sources, organizes materials and draws attention to the most important parts; on own initiative, observes need for administrative or procedural changes;
" Obtains statistical reports and data requested by the managers being supported and screens for accuracy and completeness; ensures that completed files are available when required;
" Transcribes and types from oral or machine dictation, minutes of meetings, correspondence, reports, bulletins and memoranda;
" Ensures appropriate access to and adequate information about the management team to all seeking to communicate with them; staff, government officials, media, representatives of other institutions, families of clients and residents, etc;
" Organizes multiple local corporate special functions, including Christmas and Founders' Day activities, and selected employee and volunteer recognition events;
" Maintains accurate well-organized and easily accessible files for the office of the Director;
" Other related duties as required.

This is a non-union/non-management position at CG-27, $23.53 to $26.04 per hour, plus the applicable Labrador Allowance.

Hours of Work:
Monday to Friday, 75 hours bi-weekly. Variable shifts may be required.
