JOB PURPOSE

This position, reporting to the General Manager, is a key member of the administration department. The Role of the Sales Assistant is to provide administrative support in the assignment and delivery of private sale event throughout Canada and the United States. The Administrative Assistant provides consistently professional and exemplary customer service to all stakeholders.

DUTIES & RESPONSIBILITIES

Administration

Scheduling Sales Trainers for events by generating trainer contract for Training and Travel for all countries
Adding Events to the calendar and assigning Trainers when requested
Create invoices for Sales Trainers for the events assigned
Tracking Trainer Re-booking bonus
Brag Books for all OEM's - monthly for FCA/quarterly for all others
Booking trainer time off on calendar
Setting up conference calls for Team Leaders and General Manager
Setting up Challenge Boards in AR portal
Communicating with Trainers on a day to day basis regarding resources needed
Assisting General Manager on reporting and clerical duties
Communicating with other country leaders (ie: Australia/NZ)
Luxury Showroom kits -coordinating the shipping of these items
Outbound marketing for Private Sales, specifically the deployment and reporting
Generate sales & event reports
Assist and plan events and projects (ie. T3 organization, planning,and RSVP web sites)
Assist with any graphic related projects
Assist with AR apps administration (back end)
Prepare, proofread and edit complex and sensitive word documents,spreadsheets, mailings, binders and presentations as requested;
Create and maintain filing systems;
Create and send communication to internal and external clients as required;
Maintain a professional and ethical profile in accordance with company standards;
Process any and all receipts in accordance with office procedures;

Vehicle Sales Licensing

Maintain the trainer licensing in the AR Portal
Complete license transfers and monitor the expiration days for trainer licenses and liaise with the trainers for renewal requirements for VSA and AMVIC
Submit sales sheets and event information to VSA, AMVIC and OMVIC in compliance with licensing requirements and address any issues related to the event (ie. dealership licensed for event; company name change; and/or address changes)
QUALIFICATIONS

Post-secondary education in Business, Marketing or other related field
Minimum of 2 years'experience in a similar role
Automobile industry knowledge and experience preferable.
Excellent verbal and written communication skills, adept at dealing with all levels of the organization
Strong interpersonal skills and the ability to liaise with both internal and external stakeholders
Proficient dealing with analytics and numbers
Maintain attention to detail, take initiative and thrive in a fast-paced environment
High level proficiency in all aspects of MS Office; with advanced knowledge of Outlook, PowerPoint and advanced level in Microsoft Excel 2013 is a must
Possess strong analytical, project coordination and problem-solving skills
Team player with well-developed interpersonal skills and the ability to work independently
Strong organizational,time management, and prioritizing skills
A high standard of professionalism, diplomacy, and confidentiality
Handling highly sensitive matters relating to the daily activity of the department and/or business
